Property Manager – Commercial Building
Position Summary:
The Property Manager oversees the daily operations, financial performance, tenant relations, and maintenance activities of a commercial property or portfolio of buildings. This role ensures the property is well-maintained, fully leased, compliant with regulations, and operating efficiently to maximize asset value and tenant satisfaction.
Key Responsibilities
1. Operations & Facility Management
- Oversee day-to-day building operations, including security, janitorial, and maintenance services.
- Conduct regular property inspections to ensure the building is clean, safe, and in good repair.
- Coordinate repair and maintenance work, including HVAC, electrical, plumbing, landscaping, and structural issues.
- Manage vendor relationships and ensure service-level agreements are met.
- Implement and monitor safety protocols and emergency preparedness plans.
2. Tenant Relations
- Serve as the primary point of contact for tenants.
- Address and resolve tenant inquiries, service requests, and complaints promptly.
- Ensure compliance with lease terms by both landlord and tenants.
- Coordinate tenant move-ins and move-outs.
- Foster positive tenant relationships to support retention and occupancy goals.
3. Financial Management
- Prepare and manage annual operating budgets and capital expenditure plans.
- Review and approve invoices, monitor expenses, and control costs.
- Handle rent collection, arrears management, and financial reporting.
- Analyse financial performance and provide variance reports to ownership.
4. Compliance & Risk Management
- Ensure the property complies with local laws, building codes, and safety regulations.
- Manage insurance requirements and assist with claims.
- Maintain proper documentation, contracts, and records.
5. Capital Projects & Improvements
- Plan and oversee building upgrades, renovations, and major repairs.
- Obtain bids, manage contractors, and ensure projects stay on budget and schedule.
6. Reporting
- Provide regular operational, financial, and tenant-related updates to building owners or asset managers.
- Prepare monthly, quarterly, and annual reports as required.
Qualifications
- Bachelor’s and Diploma in Electrical/ Mechanical Engineering
- Professional certifications (e.g., CPM, RPA, or similar) are a plus.
- 7–10+ years of commercial property management experience.
- Strong understanding of building systems and facility maintenance.
- Excellent communication, negotiation, and customer-service skills.
- Proficiency with property management software and MS Office.
