What you will do:
The Manager, Lease Administration performs a variety of analytical duties necessary to control occupancy costs, ensure lease compliance, resolve contentious landlord/tenant issues and support Business Unit and Functional Area initiatives while developing and maintaining strong internal and external business relationships.
This is a hybrid position (3 days in the office per week). Office location is 1303 Yonge Street, Toronto.
Responsibilities:
Recruit, train, coach and support the Lease Administrators in their day-to-day functions.
In-depth review of Lease Administrators’ analysis of all landlord invoices for accuracy and lease compliance. Ensure all opportunities to reduce occupancy costs are identified and followed up and any contentious issues are resolved to the benefit of the Company. Review entry of undisputed invoices into PeopleSoft for processing to ensure due dates are met.
Liaise with Design & Construction, Finance, Legal and Real Estate to ensure all landlord allowances are invoiced and collected when due.
Manage weekly and monthly rent exports process.
Provide support for theatre management with respect to landlord interactions and lease interpretation. Ensure compliance with the terms of our lease agreements and intercede where necessary to resolve any disputes.
Provide expertise and feedback to Business Units and Functional Areas in support of the development and implementation of their initiatives. Ensure all projects comply with the terms of the lease and liaise with landlords to obtain necessary approvals.
Assist Senior Manager in tracking lease expiry and renewal notice dates and sending notices to landlords to exercise renewal options as required.
Review all Estoppel Certificates to ensure they are accurate, reflect the current state of the tenancy, and are provided to Landlord within timeframe stipulated in the Lease.
Provide support to Real Estate and Legal as required.
Assist Senior Manager with tasks including: internal Audit requests to ensure processes and controls are followed, resolving PeopleSoft related issues and make enhancements to the system, ensuring the terms of the agreements are input into PeopleSoft Property Management, and ensuring occupancy accruals are up to date.
Qualifications:
A post-secondary education in a related field
5-7 years of Lease Administration experience
5-7 years of interpreting commercial leases
General understanding of occupancy costs
General accounting knowledge
2-3 years of Management/Supervisory experience preferred
Excellent customer service, verbal communication and organizational skills
Ability to supervise, train, coach and give performance feedback to others
Strong analytical skills, and the ability to negotiate effectively
Thorough understanding of occupancy costs (CAM, property taxes, utilities and percentage rent)
Superior MS Office skills (Outlook, Excel, Word, PowerPoint, Teams)
Exceptional time management skills with an ability to multi-task
Works well under pressure and is committed to meeting deadlines
Experience building Power BI dashboards and reports is an asset
Knowledge of PeopleSoft is an asset
Experience in monitoring property taxes and dealing with tax consultants is a plus
Fluency in French is an asset, but not a requirement
