The manager position oversees all aspects of senior medical school students education and graduation requirements inclusive of ongoing fourth-year residency application processes and required electives for successful completion of the School of Medicine curriculum. The Program Manager directs all senior medical students navigating submission of documentation to meet national standards and required deadlines for programs including several specialties. The individual implements and disseminates essential instruction protocol for senior students by providing resources and keeping abreast of updates to create a competitive residency application for alternative and specialty program options. The manager also, is the administrator for ongoing processes and scheduling for student fourth year electives.
Essential Functions (Principal Duties and Job Responsibilities):
- Direct Senior Program and Projects: Oversee the development, implementation, and management of programs specifically for senior medical students clinical rotations and their transition-to-residency.
- Administer Residency Application Process: Lead the oversight of the Electronic Residency Application Service (ERAS) and National Residency Programs, and overseeing several specialty programs (military, urology, San Franciso, etc) for senior students. The manager ensures timely student submissions, access to application materials, and effective communication with student preferences and essential qualifications. Provide current information to senior students, faculty, and staff about program updates and requirements.
- Direct Visiting Student Learning Opportunities: Administer the Visiting Student Learning Opportunities (VSLO) program, directing ongoing visiting electives, registration status, approvals, and protocol with host institutional and regulatory standards such as certifications, curriculum vitae and letters of recommendation.
- M4 Policy and Procedures: Ongoing development, implementation and maintaining national standard operating documentation related to senior student clinical experiences, residency applications, and visiting student opportunities
- Elective Quality Improvement: Compile and review evaluations and outcomes from senior students and faculty to enhance medical education for student quality improvement actions by working closely with Student Affairs, Registrar, Financial Aid, and the Assistant Dean and Director of Academic Affairs to address senior student programs.
- Senior Student Professional Mentorship Provide comprehensive academic mentoring to senior students on residency selection, regarding demographics, application strategy, national trends and interview preparation resources
- Elective Management: The individual ensures medical students receive current information and access regarding away elective descriptions, preferences, demographics and interviewing strategies. The responsibility is vital for managing the necessary documentation for away rotations.
- Compliance Readiness Lead: Ensure all senior student programs/electives meet American Association of Medical Colleges (AAMC) standards and review of institutional processes
- Manage Host Education Experiences : Problem solves all student documentation and timelines required by host institutions that enhance student medical education away experiences
- Electronic Education Resources Lead: Reviews and updates ongoing student access to educational resources. The individual is responsible for the initiation and renewing of contracts and digital education resources/programs
- Academic Professionalism Advocate: Adheres to all Academic Affairs internal timeline processes related to leading successful student matriculation to the fourth year and duties as assigned
- Academic Affairs Deliverables: Alignment with Academic Affairs team ongoing internal timeline processes related to orientation, intercessions, match, graduation, commencement, awards and honors ceremonies and duties as assigned

Education and Experience Required:
- Master degree required to perform essential job duties..
- Minimum of two years or relevant academic experience, graduate or undergraduate medical education required to perform role
Education and Experience Preferred:
- Master’s degree
- 5 years of progressive medical education experience in higher education, government or in a medical school setting
- Direct working experience with medical students
- Experience with or knowledge of ERAS, NRMP (related specialty programs)
