JOB DESCRIPTION:

Job Role:

Provide comprehensive administrative and operational support to the CFO and Finance Leadership Team (FLT), ensuring seamless coordination of meetings, events, travel, compliance, and visitor logistics.

Key Responsibilities:

Organize and manage CFO & FLT-led meetings Manage CFO’s calendar and appointments, ensuring optimal time utilization and prioritization. Manage CFO’s travel arrangements (domestic and international), including preparation and submission of Travel Requests. Ensure timely and accurate submission of expense claims in compliance with company policies. Support monthly CFS townhalls and Long Service Award programs in collaboration with BHR and external vendors for certificates etc. Coordinate communication & venue setup for these events. Ensure timely submission of compliance certificates to Legal on the first working day of each month. Manage logistics for global leadership visits, including travel, accommodation, meeting schedules, and hospitality.

Job Role: Validation

Ensure accurate and timely validation of vendor invoices within the VIM system, supporting compliance, operational efficiency, and stakeholder satisfaction. Act as a key liaison between internal teams and stakeholders at Abbott to resolve queries and maintain smooth invoice processing.

Key Responsibilities:

Review vendor invoices in VIM for accuracy, completeness, and compliance with company policies. Validate invoice details against Purchase Orders (PO), Cost centre, Internal order and tax requirements. Ensure timely completion of invoice validation to meet SLA and monthly closing timelines. Guide internal stakeholders (Procurement, AP, Tax teams) on invoice-related queries. Minimize escalations by proactive communication and resolution of discrepancies. Facilitate monthly closing activities in coordination with FRP & AP teams. Maintain and circulate weekly VIM Tracker for physical invoices and pending validations. Track team efficiency and activity metrics for continuous improvement. Ensure adherence to statutory requirements and internal audit controls. Participate in system enhancement projects with IT, OpenText, AP, and Tax teams. Suggest process improvements to optimize invoice validation and reduce cycle time. Provide necessary documentation and clarifications for statutory and internal audits related to VIM.

Job Role: Record Management

Ensure proper maintenance, compliance, and lifecycle management of physical and digital records in alignment with Abbott policies. Support audits and manage vendor agreements related to record services.

Key Responsibilities:

Maintain completeness and accuracy of labeling, filing, and storage of physical and digital records. Ensure timely upload of records into Document Management System (DMS). Ensure adherence to Abbott policies and Global Record Retention (GRR) guidelines. Implement record destruction processes as per policy and maintain Destruction Certificate as documentation for compliance. Provide required data and documentation for internal and statutory audits. Handle audit queries effectively and ensure timely closure. Send data to Ask Records Team (Abbott Global) for uploading on RIMS monthly. Verify accuracy of service provider billing related to record management services. Ensure timely renewal of vendor agreements and compliance with contractual terms.
