General Description:
This role is responsible for managing pharmaceutical distribution operations in Japan, ensuring stable product supply and a high-quality customer experience through efficient and reliable order processing, shipment execution, and inventory management.
The position oversees warehouse and transportation operations utilizing domestic distribution centers (DCs), the end-to-end Order-to-Cash process for wholesalers from order receipt through shipment and billing, as well as overall inventory management. It drives the maintenance and continuous improvement of operations in compliance with GDP and relevant regulatory requirements.
In addition, this role serves as the primary operational point of contact with major pharmaceutical wholesalers, facilitating information exchange related to supply planning, shortage risk management, and demand insights. The role works closely with cross-functional teams including Commercial, Finance, Supply Chain, and Quality to support smooth and effective distribution within the Japanese market.
Accurate execution of SAP-based processes related to order management, inventory, and billing, along with KPI monitoring and audit readiness, is required to ensure both compliance and operational efficiency.
Basic requirement of a fixed work schedule of 2-3 days per week on specific days.
Essential Functions of the job:
1. Domestic Distribution (Warehouse & 3PL) Management
Manage day-to-day operations of the domestic distribution center (DC) and third-party logistics providers (3PLs)
Oversee outbound distribution of finished goods (FG) from DCs to wholesalers
Coordinate transportation arrangements, delivery confirmation, and temperature control in compliance with GDP requirements
Manage reverse logistics processes, including returns, disposal, and re-distribution
Maintain and continuously improve warehouse and transportation operations in compliance with GDP and relevant regulations
Monitor logistics vendors’ performance through KPIs and drive corrective and improvement actions
2. Order-to-Cash (OTC) Process Management
Process purchase orders received from pharmaceutical wholesalers (e.g., SD Collabo, Suzuken, Toho etc)
Perform sales order entry in SAP, including sales order uploads and master data maintenance
Issue shipment instructions and coordinate transportation and dispatch arrangements
Liaise with Finance to ensure accurate and timely billing and invoicing processes
Manage wholesaler-specific commercial terms and credit limits
Oversee return and refund processes and coordinate with relevant internal functions
3. Inventory Management (DC & SAP)
Prepare month-end inventory reports and reconcile inventory balances between SAP and DC records
Monitor inventory levels, batch/lot numbers, and product expiry dates
Plan and execute annual physical inventory counts in collaboration with Finance and Quality
Conduct root cause analysis and implement corrective actions for inventory discrepancies
Provide inventory status and supply-related feedback to Sales and Demand Planning teams
4. Commercial Support (Wholesaler & Internal Coordination)
Serve as the primary operational point of contact for pharmaceutical wholesalers
Share supply plans and proactively communicate potential shortage or supply risks
Collect sell-out and demand insights and provide timely feedback to internal stakeholders
Support commercial flow updates such as price changes, new product introductions, and contract condition updates
5. Process Improvement & Compliance
Drive continuous improvement and standardization of SAP- and DC-related operational processes
Define, monitor, and analyze KPIs, and develop improvement initiatives based on performance results
Develop, update, and maintain local SOPs and work instructions related to GDP compliance
Prepare for and support internal and external audits related to GDP and logistics operations
Coordinate with the Quality function on deviations, investigations, and CAPA related to warehouse and transportation activities
Ensure pragmatic and effective operation of internal controls in accordance with SOX requirements, including appropriate segregation of duties, while collaborate closely with accounting team.
Collaborate and network among commercial distribution personnel within JAPAC, and streamline commercial distribution processes.
Qualification Required:
Education Required:
Bachelor’s degree or above, medical or related majors preferred
Qualification:
10+ years of experience in managing wholesalers.
Thorough knowledge of laws and ethical standards related to the distribution of pharmaceuticals
Strong negotiation skills to foster mutually beneficial relationships with wholesalers.
Communication skills to engage in effective communication with wholesalers and internal stakeholders
Business-level English proficiency (written and spoken).
Computer Skills:
Basic skills in Word, Excel, PowerPoint, Teams
Experience in data entry and master data management with Enterprise Resource Planning System (e.g., SAP)
Travel: Travel required as needed
