The Position

Job Title: Manager, Administration

Company: Roche Diagnostics India Pvt Ltd.

Position Overview:

We are seeking a dynamic and experienced Manager of Administration to oversee and manage all administrative, facility, and security operations for our offices across India. The ideal candidate will be responsible for ensuring the smooth functioning of our facilities, managing office projects, supervising vendors, and ensuring a safe and secure environment for all staff. This role requires close collaboration with our Global Real Estate team and local management to maintain high standards of office upkeep and operational efficiency.

Key Responsibilities:

Facility Management

·         Leasing & Renewals:

o    Liaise with the Global Real Estate team to maintain PAN India Office Leases and action necessary renewals.

o    Manage leases, which includes preparing, checking, and activating lease documents and contracts.

o    Prepare and maintain a comprehensive tenancy schedule.

o    Coordinate with property owners and management teams for any site requirements or escalations.

·         Office Project Management:

o    Collaborate with the Global Real Estate team to plan and implement new office projects.

o    Manage new office projects by creating business cases, developing budgets, and securing approvals from local and global management.

o    Oversee the entire project lifecycle from lease transaction and vendor contracting to the timely completion of the new office space.

o    Ensure all projects meet the firm's requirements for design, engineering, and property services.

·         General Office & M&E Maintenance:

o    Ensure all Annual Maintenance Contracts (AMCs) are in place with correct details.

o    Supervise vendors to ensure the timely delivery of services.

o    Manage the maintenance of office aesthetics, including painting, carpet cleaning, and any required carpentry or civil work.

o    Oversee services such as coffee vending, feminine hygiene, pest control, and manage parking issues.

o    Take responsibility for the maintenance of FAS, ACs, & CCTVs, ensuring periodic checks and part replacements are conducted as scheduled.

o    Maintain the AMC for the Fire & Electrical panel.

o    Ensure vendors properly service UPS systems and equipment in the electricity room.

 

Security Management

·         Ensure 24x7 office surveillance for the safety of staff and property.

·         Highlight fire emergencies and actively assist staff during emergency evacuations.

·         Maintain documentation to track the entry and exit of all office materials.

·         Manage office security as per Roche Security Guidelines and Directives.

Administration

·         Office Management:

o    Drive the administrative team and manage daily operations and logistic needs.

o    Responsible for the general upkeep of the office, ensuring the reception area is well-managed and presentable.

o    Ensure the facility is fully maintained and compliant with all statutory requirements and local safety and security laws.

·         Vendor Management:

o    Confirm all vendor contracts are current and in place.

o    Raise purchase orders as required.

·         Car Leasing:

o    Supervise all car lease operations, including contracts, agreements, and escalations.

·         Travel Arrangements:

o    Manage end-to-end travel arrangements for the organization, including travel booking, cab services, hotel bookings, and forex arrangements to streamline staff travel.
