As the Manger, Administration, you will play a pivotal role in ensuring the smooth functioning of our executive team by providing comprehensive administrative support, as a dedicated Executive Assistant to MCG’s CEO. You will also have supervisory oversight of our EA Team, who is responsible for planning events and coordinating workplace services, along with managing various tasks and projects, like MCG’s strategic planning process. You will work closely with your assigned executives to provide calendar support, streamline their workflows, anticipate needs, and handle matters efficiently and professionally. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to bring clarity and structure into the organization.  

 

ESSENTIAL FUNCTIONS AND KEY POSITION ACCOUNTABILITIES:   

 

Executive Administration 

  • Manage complex calendars, scheduling appointments, meetings, and travel arrangements for MCG’s CEO and Executive Team (ET) meetings.  
  • Prepare and edit documents, presentations, reports, and other materials with a high degree of accuracy and attention to detail. 
  • Conduct research and compile information to support accountability, decision-making and project management of ET-driven initiatives. 
  • Handle confidential information with discretion and professionalism. 
  • Delivers on commitments within agreed timelines; proactively updates executives on progress, risks, and any anticipated delays. 
  • Anticipate needs and proactively identify opportunities to improve processes and enhance productivity. 

 

Team Leadership 

  • Lead the EA team to deliver value for all their teams, our employees, and our workplace experience. 
  • Lead the EA Team to plan and deliver workplace events on behalf of MCG’s ET, including our monthly MCG week, an in-person gathering for the ET and broader teams to collaborate and nurture our culture 
  • Assigns tasks based on team strengths and project needs; ensures clarity of ownership and deadlines. 
  • Applies business context to inform priorities, problem-solving, and decision-making. Connects team outputs to broader organizational goals. 

 

Workplace Services 

  • Own Workplace services and amenities, keeping our Seattle office stocked, organized and well-maintained. 
  • Serve as a primary point of contact for internal and external stakeholders, including clients, partners, vendors, building management, and team members.  
  • As required, work from MCG’s offices to oversee deliveries, maintenance, vendors, events and other workplace services. 

 

 

What We’re Looking For: 

  • Proven experience (7+) as an executive assistant or similar role (ex. Project Manager) supporting C-level executives. 
  • Previous supervisory experience 
  • Previous experience managing and organizing company planning processes, like OKRs 
  • Previous experience with event planning 
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. 
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels. 
  • Proficiency in Microsoft Office Suite, Confluence (or similar), project management tools, video conferencing and other relevant software applications. 
  • Strong capability and knowledge of Microsoft Excel 
  • Ability to maintain confidentiality and exercise sound judgment and discretion. 
  • Detail-oriented with a high degree of accuracy in all work performed. 
  • Proactive and resourceful with a positive attitude and a willingness to take on new challenges. 
  • Flexibility to adapt to changing priorities and flex working style to deliver results 
  • Previous experience with office management or workplace services
