Job Summary: This position is located in the Department of Defense Office of Inspector General (DoD OIG), Office of Legislative Affairs and Correspondence, Executive Secretariat. The incumbent will develop and improve the effectiveness of the administrative work methods, procedures, and correspondence management systems. Incumbent has responsibility to complete diverse and professionally challenging assignments; and will ensure accurate, concise, and processing of executive correspondence.

Major Duties:

  • Performing analysis of correspondence management procedures for efficiency, effectiveness, and adherence to current policy. Serving as a subject-matter-expert on the organization’s task management systems and providing technical guidance.
  • Evaluating and reviewing correspondence presented, and based on expert analysis of content and knowledge of organizational functions, independently determines a suspense date and assigns an office of primary responsibility.
  • Performing full review of format for all correspondence that will be submitted to the DoD OIG Front Office for signature, and ensuring compliance with the DoD OIG and DoD correspondence policies and administrative guidance.
  • Conducting research and analysis, preparing reports that provide clear and accurate representation of the information. Maintaining databases, reporting procedures, and data displays to depict the effectiveness and efficiency of assigned programs.
  • Conducting regular reconciliation of staff actions in the task management systems and preparing recurring and ad hoc performance analysis reports for management.

Qualifications: Time in Grade: For entry at the GS-12 level, status applicants must have served 52 weeks as a GS-11 or equivalent or higher grade, in the Federal Service. Specialized Experience: Applicants must have 52 weeks of specialized experience at the GS-11 level or equivalent under another pay system. Specialized experience is defined as experience applying correspondence management policies, practices, and governing regulatory guidance. Performing analysis, preparing reports, and making process improvement recommendations to management. Experience reviewing correspondence and ensuring appropriate coordination of agency responses utilizing an automated correspondence management application. Demonstrated experience in the preparation and delivery of training that included all levels of personnel within an organization or agency. Relatable experience must have been performed within the last 10 years. You must meet the minimum qualification requirements as stated in the Office of Personnel Management (OPM) Operating Manual, Qualification Standards for General Schedule Positions: http://www.opm.gov/qualifications/Standards/group-stds/gs-prof.asp. Paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual, community, student, social) is qualifying. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates to paid employment. You will receive credit for all qualifying experience. Qualification and time-in-grade requirements must be met by the closing date of this announcement.
