DESCRIPTION:

Responsibilities and Authorities

  • Responsible the setting up, administration and configuration of Maximo:
  • A clear understanding of data and configuration dependencies
  • Proficiency in the following Maximo modules.
  • Provide technical and procedural direction and/or support to all Maximo users Coordination with external resources to solve Maximo problems
  • Responsible for making changes to the Maximo hierarchy – e.g. adding locations and equipment as directed
  • Provide training documentation updates
  • Implement, configure, operate, and maintain IBM Maximo 7.6 Application System (we are using 7.1)
  • Responsible for setup processing, Application Deployment includes:
  • User Additions, changes, and Deletions
  • Approve user access requests (raising issues to Business owner for resolution as needed)
  • Confirm CMMS training compliance
  • Assign appropriate access groups in CMMS and notify user
  • Facilitate periodic User Access Reviews
  • Facilitate periodic inactive user reviews
  • Serve as primary contact for Maximo-based applications for System Users and IT support
  • Work with IT to apply, test and verify, Generate, Develop, support and maintain Business Intelligence Report System reports; run queries and create ad hoc reports
  • Investigate and troubleshoots issues as needed
  • Trained and competent person to use the TrackWise system.
  • Involve in customer audits.
  • Perform tasks assigned by the manager.    

Maximo-related tasks:

  • Calibration reminders to stakeholders
  • Filing, and uploading of calibration certs, service orders
  • PM reminders to Facilities counterparts
  • Data integrity checking
  • Create & maintain Maximo training documents (dept use, not formalized)
  • Create and add all new assets into Maximo
  • Create and add site maintenance plan into Maximo (eg: ACMV, fire protection, cargo lifts & other regular maintenance) for better tracking
  • Site liaison person for Maximo-related matters.

Digitalization Support tasks:

  • Well verse in digitalization tools such as Power BI, Power query, Power automate, and other tools will be advantage.
  • Develop and execute site digitalization strategy aligned with business objectives using tools such Power BI, Power query, Power automate, and other tools will be advantage.
  • Collaborate with IT, operations, and other stakeholders to implement digital solutions
  • Oversee digital project delivery, ensuring timely execution and quality
  • Foster a culture of innovation and digital literacy among site teams
  • Monitor and report on digitalization progress, providing insights and recommendations
  • Act as site Subject Matter Expert for above mention digitalization tools.

Administrative tasks:

  • Filing, uploading of quotations, purchase orders, invoices
  • Newcomers ID card setup; create user manual
  • Manage and support in Power BI data logging for various team when necessary.
  • Ensures stationary supplies, weekly fruits arrangement and inventories of other pantry supplies

Facilities related tasks:

  • Track Facilities maintenance service contracts (new/renewals), request for renewal before contract ends, review quotes & negotiate on pricing, payment terms. Then submit for approval
  • Raising purchase requests
  • Request for payment approval & submit invoices for payments
  • Submit service order and invoices to Warehouse to do Goods Received
  • Liaise with Vendor & Finance on outstanding payments
  • Liaise with Vendor & Finance to setup new vendor in Oracle
  • Recording expenses
  • Provide support to Facilities and Maintenance (F&M) teams during customer audits, addressing findings and observations in a timely manner, and ensuring closure within agreed timelines.

   

Qualifications

  • Diploma/Higher Nitec in information technology, mechanical, electrical & electronics, chemical or other related scientific or technical discipline preferred.
  • Candidate should have a minimum of 3-5 years of relevant working experience working in Maximo/BMS &/or security data management systems in system administration, generating system reports, Powe BI, Power Query, Power Automate, RPA and escalations support for system-related issues
  • Advanced computer skills (Excel, Data Analysis, SQL)
  • IBM Certification in Maximo will be preferred thought not necessary
  • Good in-depth knowledge of Assets management, inventory, Preventive Maintenance, Purchasing, Work Orders
  • Strong problem-solving and analytical skills
