Job Title: Facilities Manager

Reports To: Maintenance Head

Job Summary

The Facilities Manager is responsible for overseeing the maintenance, security, and administrative services of the organization's facilities to ensure the physical environment is safe, functional, and well-maintained. This role encompasses strategic planning, daily operations management, vendor relations, and ensuring compliance with all regulatory standards. The goal is to provide an optimal and efficient working environment for all staff and visitors.

Key Responsibilities

1. Operations and Maintenance

  • Oversee all building systems: Manage the inspection, maintenance, and repair of HVAC, electrical, plumbing, fire suppression systems, CNC, plasma, EOT, welding machines and other critical plan & infrastructure.

  • Develop and manage preventative maintenance programs (PMP): Ensure all equipment and systems are regularly serviced to minimize downtime and extend asset life.

  • Manage repairs and maintenance requests: Implement and track a work order system to efficiently address day-to-day facility issues.

  • Supervise facility staff and contractors: Direct and coordinate the activities of maintenance technicians, janitorial staff, and external service providers.

2. Financial and Strategic Planning

  • Develop and manage the annual facilities budget: Control operational expenses, track utility consumption, and manage capital improvement projects.

  • Prepare and present financial reports: Provide regular updates on expenditures, budget variances, and cost-saving initiatives.

  • Plan and manage facility upgrades and renovations: Oversee design, bidding, and execution of projects.

3. Health, Safety, and Compliance

  • Ensure regulatory compliance: Maintain adherence to local, state, and federal regulations (e.g., OSHA, fire codes, building codes etc).

  • Develop and implement emergency preparedness plans: Coordinate fire drills, evacuations, and disaster recovery procedures.

  • Manage building security: Oversee access control systems, surveillance, and liaison with security personnel to ensure a safe environment.

4. Vendor and Contract Management

  • Manage vendor relationships: Source, evaluate, and negotiate contracts with service providers (e.g., cleaning, landscaping, waste management).

  • Monitor contractor performance: Ensure vendors meet contractual obligations and quality standards.

5. Administrative and Staff Management

  • Manage space planning and allocations: Optimize the use of office space, coordinate employee moves, and ensure efficient office layouts.

  • Maintain inventory: Manage facility supplies, tools, and equipment

Qualifications

Required

  • Education: Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field, OR equivalent practical experience.

  • Experience: Min. 10 years of proven experience in facilities management or a similar role.

  • Technical Skills: Strong knowledge of technical aspects of facility management (HVAC, electrical, plumbing, CNC, EOT, Plasma ,building and automation systems).

  • Software Proficiency: Experience with Oracle, Epicor and Microsoft Office Suite.
