Position Description:

The Mail Technician is responsible for supporting a high‑volume, fast‑paced mail operation that services multiple business units across the organization. This role plays a critical part in ensuring the timely, accurate processing and distribution of incoming and outgoing mail, packages, and courier shipments. Due to a significant increase in overall workload and mail volume, this position supports a broad range of business correspondence, including but not limited to MCE‑related materials, and is essential to meeting operational and service delivery demands.

Key Responsibilities:

  • Assist with the processing, sorting, logging, and distribution of high‑volume incoming and outgoing mail.
  • Handle a wide variety of business correspondence, including:
  • Invoices, statements, and past‑due notices
  • Policy‑related notices and documents
  • Agency and departmental billing materials
  • Customer and internal communications
  • MCE‑related mail as part of overall mailroom operations
  • Prepare and process outbound mail, ensuring accuracy, proper postage, and timely delivery.
  • Manage courier shipments, including FedEx and other delivery services.
  • Coordinate USPS pickups and deliveries.
  • Support quality assurance mail requests to ensure accuracy and compliance with service standards.
  • Maintain daily logs and activity reports for assigned mail processes.
  • Provide limited reprographics support, including copying, folding, binding, and related tasks.
  • Assist with additional clerical and administrative duties as assigned to support departmental needs.

  • Ability to multitask and maintain attention to detail while meeting deadlines.
  • Effective communication and customer service skills to support internal stakeholders.
  • Ability to remain calm and professional when handling stressful situations or shifting priorities.
  • Ability to learn and retain departmental account numbers and mailbox locations.
  • Ability to use office equipment, including:
  • Digital copiers
  • Folding, binding, and laminating equipment
  • Mailing equipment and software
  • Working knowledge of Windows‑based computers and software, including Excel, Word, and Outlook.
  • Strong data entry and typing skills.
  • Commitment to integrity, discretion, confidentiality, and privacy.
  • Clear and legible handwriting.
  • Ability to read, understand, and process a wide range of written materials.

Qualifications:

  • High school diploma or equivalent.
  • Experience working in an office or administrative setting.
  • Previous mailroom or clerical experience preferred.
  • Basic computer skills. (Excel, Word, Outlook)
  • Attention to detail.
  • Integrity, discretion, and respect for confidentiality and privacy.
  • Clear handwriting.
  • Ability to read and understand a wide range of materials.
  • Good communication and customer service skills.
  • Ability to prioritize and work under pressure.
  • Organizational skill.

For individuals assigned or hired to work in the location(s) indicated below, the base salary range is provided. Range is as of the time of posting. Position is incentive eligible.

$46,000 - $60,000/year

  • Total individual compensation (base salary, short & long-term incentives) offered will take into account a number of factors including but not limited to geographic location, scope & responsibilities of the role, qualifications, talent availability & specialization as well as business needs. The above pay range may be modified in the future.
