Mail Processing Assistant (Insurance Notices)

The Clerical Mail Processing Assistant is responsible for the accurate, timely preparation and mailing of policy, billing, legal, and regulatory notices issued by the insurance company. This role supports compliance with contractual and regulatory requirements by ensuring notices are processed, documented, and mailed in accordance with established procedures and deadlines.

Key Responsibilities

  • Prepare, sort, and mail outgoing insurance notices, including policy documents, billing statements, cancellation and non-renewal notices, regulatory correspondence, and customer communications

  • Ensure all mailings meet internal quality standards and applicable regulatory and contractual requirements

  • Operate and maintain office equipment such as printers, scanners, mail meters, folding and inserting machines

  • Verify accuracy of recipient information, mailing addresses, and document completeness prior to mailing

  • Track and log mailed notices in appropriate systems or logs, ensuring accurate record retention

  • Assist with certified or tracked mailings and maintain proof of mailing documentation as required

  • Coordinate with internal departments to resolve mailing issues or reprints

  • Manage incoming returned or undeliverable mail and route items for follow-up

  • Maintain adequate mailing supplies and notify supervisor of replenishment needs

  • Adhere to company confidentiality, data privacy, and information security requirements

  • Perform other clerical and administrative duties as assigned

Qualifications & Skills

  • High school diploma or equivalent required

  • Prior clerical, mailroom, or administrative experience preferred; insurance experience a plus

  • Strong attention to detail and ability to follow written procedures

  • Basic computer skills, including familiarity with Microsoft Office and document management systems

  • Ability to handle repetitive tasks while maintaining accuracy and consistency

  • Good organizational and time-management skills

  • Ability to work independently and as part of a team

  • Professional demeanor and commitment to confidentiality

Physical & Work Requirements

  • Ability to stand, sit, bend, and lift mail trays or packages up to approximately 25 pounds

  • Frequent handling of paper documents and mail materials

  • Onsite presence required to support daily mail processing activities

Compliance & Conduct

The employee must comply with all company policies, regulatory requirements, and confidentiality standards. Adherence to established mailing procedures and timelines is required to support regulatory compliance.

For this position, we currently expect to offer a base salary in the range of $35,000.00 to $45,000.00. Your salary offer will be based on an assessment of a variety of factors including your specific experience and work location.
