Job Summary

The Machine Fleet Strategist oversees the operation, maintenance, and optimization of the company’s fleet of machines, including ATMs, teller cash recyclers (TCR’s), coin counting machines, cash advance and instant issue card machines. This role ensures efficient machine utilization, manages life cycles and upgrades, and coordinates with internal teams and vendors to support business needs. Responsibilities also include compliance, procurement, reporting, and contributing to strategic planning through data-driven insights and product management practices such as backlog development and roadmap alignment.

Fleet Management

  • Oversee the acquisition, maintenance, and disposal of fleet machines, including ATMs, teller cash recyclers (TCR’s), coin counting machines, cash advance and instant issue card machines.

  • Develop and implement maintenance schedules to ensure optimal performance and longevity of machines.

  • Manage machine model life cycles, including upgrades and technology updates.

  • Coordinate with suppliers and vendors for machine procurement and repairs.

  • Monitor machine usage and performance to ensure efficient operation.

  • Manage machine inventory and ensure accurate record-keeping.

  • Align machine deployment with broader business strategy.

  • Utilize strategic planning tools and data-driven deployment decisions.

Operational Efficiency

  • Plan and optimize machine deployment to meet operational requirements, including new machine installations for branch openings and updates, as well as removing machines for branch closures and updates.

  • Implement strategies to reduce machine downtime and improve productivity.

  • Conduct regular inspections and audits to ensure compliance with safety and operational standards.

  • Utilize telematics and other technologies to track machine performance and usage.

  • Use analytics to monitor performance and predict maintenance needs.

  • Encourage the use of data analytic tools for performance tracking.

Compliance and Reporting

  • Ensure all machines comply with relevant regulations and standards.

  • Prepare and submit reports on fleet performance, maintenance activities, and compliance.

  • Maintain up-to-date records of machine licenses, registrations, and insurance.

  • Emphasize regulatory compliance and risk mitigation.

  • Knowledge of PCI compliance and ADA standards is desirable.

Server, Software, and Hardware Management

  • Oversee server management to ensure reliable operation of machine-related systems.

  • Manage software updates and maintenance for all machines.

  • Handle hardware management, including parts and supplies inventory.

  • Manage IoT-enabled devices and automated update systems.

  • Experience with remote diagnostics and financial tech ecosystems is a plus.

Core System Maintenance

  • Serve as the primary contact for core system maintenance related to machines, ensuring system reliability and performance.

Additional Responsibilities Including Product and Project Management

  • Develop and manage the fleet budget, including forecasting and cost control.

  • Implement continuous process improvement initiatives (e.g., Lean, Six Sigma).

  • Collaborate with other departments to align fleet operations with overall business goals.

  • Handle emergency repairs and urgent maintenance needs.

  • Evaluate and implement new technologies to enhance fleet management.

  • Emphasize continuous improvement methodologies.

  • Strong emphasis on cross-functional teamwork.

  • Examples of vendor negotiation and interdepartmental coordination are valuable.

  • Build and maintain a product backlog of machine-related enhancements and features.

  • Prioritize backlog items based on business impact and feasibility.

  • Collaborate with stakeholders to ensure prioritized items are included in the technology roadmap.

KNOWLEDGE, SKILLS, and ABILITIES

Experience
Five years of similar or related machine fleet management experience within the financial industry. Experience with product development and/or project management is preferred.
 

Education
Bachelor’s degree in Business, Information Technology, or related field. Or, 4 additional years of experience within the financial industry supporting payment operations programs.
 

Computer/Office Equipment Skills
Basic computer operating skills. Advanced skills in Microsoft Office (Outlook, Word, Excel), must have a good knowledge and confidence in working with financial institution core systems.

Managerial Responsibility
No direct manager responsibility.

Other Skills and Abilities
The ideal candidate for the Machine Fleet Strategist position should possess strong analytical and problem-solving skills to effectively manage and optimize the fleet's performance. Excellent communication and interpersonal abilities are essential for collaborating with team members, suppliers, and other departments. Proficiency in using fleet management software and telematics systems is preferred, along with a solid understanding of relevant regulations and industry standards. The candidate should be detail-oriented, capable of multitasking, and adept at managing time efficiently. Familiarity with financial management and budgeting, as well as experience with continuous process improvement methodologies like Lean or Six Sigma, is highly desirable. Experience with product management practices such as backlog grooming, prioritization, and roadmap planning is a strong plus.
