MAC (MOVES, ADD, CHANGE) PROJECT MANAGER
We are seeking MAC Relocation Project Manager to successfully manage the project planning and execution.
Role Purpose
MAC Relocation Project Manager. You will work closely with the program manager and occupancy planning team to ensure completion of the moves from day to day. In this role, you will interact with the Occupancy Planners to identify requirements for the moves, Manage and dispatch the supporting suppliers such as Telecom, IT and Building services. Review requests and client requirements, using the most cost effective to move a person using existing resources. Schedule the services for the moves and coordinate move dates for all services involved. Assist the team as needed working with the furniture team (Furniture Asset Repurpose Management) when needed. Assist project teams with Move coordination of large projects. Schedules and prepare project status reports. Request Quotes Assist with punch list walks to complete projects. Available to assist Occupancy Planning team with Space Audits. Must be able to travel as needed.

Key responsibilities include:
To be successful in this role, you should be able to ensure accurate reporting of information, and foster critical relationships between various individuals and organizations communication channels will exist with:
Manage all relocation activities on account projects; incorporating and creating “best practices” as possible
Ensure all relocation activities are performed in a manner consistent with documented processes and in accordance with the client’s and JLL's policies and procedures
Develop migration plans, block plans and utilizing basic understanding of Occupancy planning
Conduct space audits as needed and relevant for projects
Provide a single point of contact for all relocation project activities for client, regularly update client with updates to scope, schedule, and budget as necessary
Hold project meetings and participate in planning meetings hosted by the client, Occupancy Planning, and other key stakeholders to ensure seamless communication and project delivery
Facilitate and document project meetings with internal staff and key stakeholders to ensure responsibilities are communicated and understood by all concerned.
Develop and implement relocation move plan and budget through collaboration with the facility manager, project manager and construction manager
Procure and manage move labor including vendor/contractor RFP, bidding process, evaluate proposals and recommend selection of vendor/contractor
Manage supporting suppliers (technology, telephony, furniture, etc.)
Perform data input into the CAFM system to maintain occupancy information
Familiarity with basic project management processes (project life cycle) and knowledge of MS Project and Excel
Develop and deliver required project specific reporting, and BI surveys
Coordinate schedule, budget and scope as necessary with various service providers (IT, VTS, Construction and Associate Relocations and Furniture Installation contractor, etc.)
Determine the pricing for any non-baseline work requested (i.e. construction-related needs, furniture reconfigurations, people relocations that exceed baseline parameters, etc.)
Procure move signage, general move directions, and be present on campus or at the move site, available to answer questions, organize move orientations, and resolve post-move issues.
Work with other members of the occupancy planning team to ensure cross campus/portfolio strategy plans are developed, reviewed and approved by facility management teams on site

Requirements:
A Bachelor's Degree in Business Administration, Architecture, Design, Construction Management, or related field is required; a with minimum of 3 - 5 years of occupancy/space planning, facility, project or construction related experience in a Corporate Real Estate environment is preferred. Prior experience with interior office renovations and/or CAFM system is highly desirable.
You’ll need to be dynamic and technologically savvy and utilize software to support planning solutions and communicate ideas clearly with planning team and lines of businesses. You will be successful if you have advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations), and AutoCAD (basic test-fits and square foot calculations). Proficiency in Microsoft Office suite and ability to consolidate data and floor plans into Power Point for presentations to client and lines of business is highly valued. You’ll be effective in your role by learning to ask the right questions to understand the underlying needs of our clients. You’ll discover how to be proactive and innovative with solutions for your stakeholders.
Excellent communication skills are important – both verbal and written – and we’ll expect you to work independently, multi-task, and manage your time to meet deadlines. An individual with strong interpersonal skills with an ability to interact with executive level external and internal clients will be successful in the role.
