Lottery Product Coordinator

We are ready to take this game to the next level and need someone passionate to be responsible for coordinating the administrative aspects of the Lottery business, including accounting and procurement, and liaising with the finance department regarding invoicing and People Soft. The role involves direct interaction with vendors for all related tasks and provides administrative support executive leadership. Acting as a liaison between the Executive Leader and internal and external contacts, the position ensures effective and efficient communication to support the advancement of priorities. Additionally, the role assists the Lottery team in executing national ILC promotions, managing gift cards, and coordinating meetings.

YOUR ROLE IN THE GAME

Reporting to the VP Lottery Product , you will be empowered to:

  • Plan and coordinate day to day executive schedules including responding to and resolving scheduling conflicts by working effectively with other assistants and internal stakeholders 
  • Manage end-to-end departmental financial processes, including requisitions, POs, SOWs, invoices, approvals, accruals, and budget tracking; identify and resolve discrepancies.
  • Ensure all expenditures are properly authorized, coded, tracked, and reported; maintain budget control reports and organize team files in MS Teams.
  • Recommend and implement improvements to marketing and financial processes to enhance efficiency, agility, and speed.
  • Coordinate business reporting and communications, including consolidating weekly Lottery sales updates in collaboration with senior leadership.
  • Manage Lottery product and promotional content for OLG.ca, including briefs, cross-functional coordination, system updates, compliance (AODA), and issue resolution.
  • Oversee inventory management (gift cards, premiums), procurement, vendor coordination, product testing, and sales/inventory reporting.
  • Support marketing execution, including campaign asset collection, annual marketing calendar development, high-jackpot activations, and winner events.
  • Provide executive and team support through meeting coordination, presentation preparation, expense reporting, travel arrangements, and ad hoc marketing tasks.

WHAT YOU BRING TO THE GAME

Education & Experience:

  • ​College Diploma in Office or Business Administration or equivalent 
  • ​​​1- 3 years of experience in office/business administration or equivalent​​
