Job Description Summary:

The Central Logistics Specialist is responsible for overseeing the receipt, sorting, tracking, distribution, and coordinating of mail, packages, and materials for the KUMC campus. The role ensures timely and accurate delivery of mail and packages, efficient inventory control, and effective materials planning to support Facilities Management operations. The position requires experience with automated tracking systems and computerized maintenance management systems (CMMS) to maintain accuracy in inventory and deliveries.

Job Duties:

Mail and Package Handling:

  • Receive, inspect, and sort USPS mail, inter-office mail, and packages from carriers such as UPS, FedEx, and Fisher.

  • Verify recipient information and resolve discrepancies to ensure accurate deliveries.

  • Document any damage identified with mail or packages upon receipt.

  • Utilize automated package tracking systems to log and track all incoming and outgoing items.

  • Deliver mail, packages, and parcels following established routes and departmental standards; obtain required signatures.

  • Collect outgoing mail and process postage, ensuring proper account coding for departmental chargebacks.

  • Provide customer assistance at service windows and resolve minor complaints; escalate complex issues to the Logistics Supervisor or Manager.

Inventory and Materials Coordination

  • Coordinate storeroom functions, including inventory control, materials planning, and organization to prevent operational downtime.

  • Process, verify, and re-stock deliveries from vendors; handle item orders and monitor inventory levels.

  • Enter data and transactions in FAMIS 360 and Workday, including issuing items, inventory adjustments, and purchase requisitions.

  • Conduct cycle counts and annual inventory audits, process obsolete and dead stock.

  • Support preventive maintenance kitting and other operational initiatives in collaboration with maintenance planners and other departments.

  • Maintain organized storeroom layouts to maximize efficiency and space utilization.

  • Monitor vendor-coordinated inventory programs and resolve discrepancies, paperwork issues, and freight claims.

  • Coordinate central supply for campus resilience and emergency needs, including PPE and other critical materials.

Operational Support and Sustainability

  • Assist with process improvement initiatives, operational projects, and campus-wide recycling programs to reduce the organization’s environmental footprint.

  • Support other Central Logistics Services duties and Facilities Management projects as assigned.

Required Qualifications

Education:

  • High school diploma or GED.

Certificates/Licenses:

  • Valid driver’s license.

Work Experience:

  • One (1) year of clerical/office experience and/or six months in receiving, inspecting, and sorting mail/packages.

  • Two (2) years of experience in storekeeping, inventory management, or materials handling.

  • Experience with FAMIS 360.

Preferred Qualifications

Education:

  • Bachelor’s degree in Logistics & Supply Chain Management or related field.

Certification:

  • Logistics or supply chain management.

Work Experience:

  • Two (2) years of storeroom or warehouse management experience.

  • Experience in a receiving dock or mail room setting.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
