The Learning Management System (LMS) Administrator is responsible for the administration, optimization, and reporting of the Workday Learning platform across the organization. This role ensures accurate tracking of compliance training completions, oversees execution of enterprise learning campaigns, and manages the catalog of available training resources.
The LMS Administrator also partners with the Learning & Development (L&D) team to design, maintain, and continuously improve engaging, effective learning content that supports workforce development, leadership programs, and organizational strategy. This position also provides technical expertise, user support, and reporting capabilities to ensure the LMS is fully leveraged as a compliance and development tool.
DUTIES AND RESPONSIBILITIES:
System Administration & Management
- Serve as the primary administrator of the Workday Learning platform.
- Manage learning campaigns, assignments, and training workflows.
- Maintain course catalogs, learning paths, and enrollment rules.
- Ensure the accuracy of training content uploaded and assigned in the LMS.
- Configure, test, and deploy system updates and new features in partnership with HRIS/IT.
Reporting & Compliance Tracking
- Generate and distribute compliance training completion reports to leadership and regulatory bodies as required.
- Create dashboards and data visualizations to track completion rates, overdue assignments, and progress toward compliance goals.
- Provide accurate, audit-ready training documentation.
- Analyze usage data and recommend process or content improvements.
- Conduct impact analyses to evaluate the effectiveness of learning programs, measuring outcomes such as employee engagement, knowledge retention, and operational performance improvements. Provide actionable insights and recommendations to leadership based on data-driven evaluations.
User Support & Troubleshooting
- Provide technical support to employees, managers, and trainers for LMS-related issues.
- Develop and maintain job aids, quick reference guides, and FAQs for system users.
- Act as liaison with Workday support and internal IT to resolve system issues.
Content Development & Learning Design
- Partner with L&D team members and Subject Matter Experts (SMEs) to design, build, and maintain high-quality digital learning content.
- Develop eLearning modules, video tutorials, assessments, and microlearning assets using authoring tools (Articulate 360, Rise, Captivate, or similar).
- Apply adult learning principles, accessibility standards, and instructional design best practices to ensure effectiveness and engagement.
- Convert instructor-led content to virtual or blended formats to meet business needs and learner preferences.
- Manage updates to existing training materials to ensure alignment with policy, compliance, and organizational changes.
- Test, upload, and maintain SCORM/xAPI content within Workday Learning, ensuring seamless integration and tracking.
- Partner with the Senior Director of L&D and Regional Learning teams to ensure all digital content supports enterprise and regional training strategies.
Governance & Process Improvement
- Establish system standards, data governance, and content management protocols.
- Collaborate with HR and Compliance teams to ensure timely assignment of required training.
- Identify opportunities to optimize system workflows and improve the user experience.
- Benchmark LMS practices against industry standards and recommend improvements.
Other Responsibilities
- Contribute to organizational initiatives that strengthen service quality, compliance readiness, and employee engagement.
- Perform other related duties as required.
SUPERVISORY RESPONSIBILITIES:
This position may or may not supervise LMS team members.
MINIMUM QUALIFICATIONS :
- Bachelor’s degree in human resources, Education, Information Systems, or related field (or equivalent experience).
- Minimum of 3–5 years of experience as an LMS Administrator, preferably with Workday Learning.
- Strong understanding of SCORM/xAPI standards and e-learning publishing tools.
- Demonstrated experience in reporting and analytics related to training completions and compliance.
- Proficiency with Microsoft Excel and reporting/visualization tools.
- Strong troubleshooting, problem-solving, and customer service skills.
- Excellent written and verbal communication skills.
- Ability to collaborate with HR, IT, and compliance partners.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- Ability to perform tasks requiring sustained physical activity, such as sitting, standing, walking, or repetitive hand movements.
- Frequent use of standard office equipment, including computers, phones, and other peripherals.
- Ability to lift and carry items within a reasonable weight range, if necessary.
- Regular use of technology and exposure to prolonged periods of screen time.
