General Description:
We are seeking a Legal Services Transactions Project Manager to come join our team! The Legal Services Transactions Project Manager provides proactive, end‑to‑end management of projects within the Legal Services Transactions team, with a particular focus on law firm management services organizations (MSOs). This role ensures timelines, deliverables, and workflows are executed seamlessly through hands‑on coordination with clients, partner law firms, internal teams, and external professionals. The Project Manager also oversees critical data and information management. Because this position involves direct client interaction and access to sensitive legal information, a high level of professionalism, judgment, and discretion is essential.
Key Responsibilities and Essential Job Functions:
Project & Schedule Management
- Coordinate and track team schedules, including availability for kickoff and periodic status update and coordination calls, and provide clients and lead attorneys with clear availability charts.
- Drive integration across corporate and litigation workstreams by coordinating communication, aligning timelines and responsibilities, and ensuring all teams operate as a cohesive, single project team.
- Manage day‑to‑day scheduling issues and assess impacts on project timelines.
- Identify and secure necessary resources to support project plans.
- Monitor progress, proactively address deviations, and keep all participants aligned.
- Maintain consistent communication with project teams regarding updates, changes, and next steps.
- Partner with lead associates to ensure the team remains informed of scheduling developments.
- Manage team attendance and coordination for marketing, networking, and client‑facing events.
Staffing & Resource Coordination
- Coordinate staffing for new matters based on specialist attorney requirements provided by lead partners.
- Research target companies to recommend appropriate specialist attorneys.
- Confirm attorney availability and ensure appropriate distribution of work among specialists.
- Track staffing assignments and maintain accurate records.
Data, Reporting & Information Management
- Manage electronically stored information and databases, ensuring accuracy, completeness, and proper coordination with internal associates.
- Prepare deal summaries and summary reports for clients across all specialty areas.
- Create reports and analyses of deal data to identify market trends, deal flow patterns, and areas for improvement.
- Keep billing teams informed of status and readiness for close‑out.
- Update conflicts/intake teams regarding matter closure in internal systems.
- Produce polished correspondence, documents, and presentations using advanced Microsoft Office skills.
Client Engagement & Relationship Management
- Coordinate introductory calls with prospective clients.
- Serve as a primary point of contact between clients and internal team members.
- Track current client engagement and coordinate future touchpoints to ensure client needs are met.
- Build and maintain long‑term relationships with key clients.
- Coordinate and plan client dinners, networking events, and other engagement activities.
- Travel as needed for client meetings, networking, and marketing events.
Additional Responsibilities
- Maintain a predictable and consistent work schedule with full engagement during business hours.
- Perform special projects and additional duties as assigned.

Required Qualifications & Education:
- Bachelor’s degree required.
- Minimum 3 years of project management experience in legal services, professional services, or a related field.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Moderate or advanced keyboard usage.
