SUMMARY: Performs a variety of legal secretarial functions which follow established procedures and which may require some judgment and specialized subject knowledge.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Depending on unit to which assigned, may perform any or all of the following:
Greets the public in person or via telephone or switchboard, responding to simple questions and requests and referring more complex issues to the appropriate persons, giving directions and taking messages where appropriate.
Opens and distributes mail according to established guidelines.
Types correspondence, reports, and other documents and materials, using a typewriter and/or computer word processing software; uses spreadsheet and/or data base software to input and retrieve information.
Establishes and maintains records and files and uses them to prepare simple statistical financial activity and related reports.
Conducts research, as needed to respond to routine questions about particular area(s) of responsibility.
Reviews, validates and processes documents requiring basic knowledge and expertise in particular area(s).
Prepares and mails responses to routine inquiries.
Prepares and issues documents according to specific instructions or established guidelines.
Performs other clerical duties as required, including filing, indexing, recording information, etc.
Initiates and updates case files using data base software.
Runs copies of correspondence, documents and other items.
OTHER DUTIES: May prepare payroll.
May schedule various types of appointments.
May maintain, distribute, keep records of, and may prepare replacement orders for inventories of supplies, medications, and commissary items.
May train new employees in procedural aspects of work.
May provide notary public services..
May be utilized as a backup in Main Control.
Performs such other duties as may be assigned.
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) with courses in typing and computers and two years of responsible clerical work experience; at least six months of legal secretarial experience with a governmental entity is preferred; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS: Texas Operator's Drivers License
May be required to be bondable and/or hold or obtain certification as a notary public.
OTHER SKILLS AND ABILITIES: Ability to understand and follow oral and written instructions.
Ability to establish and maintain simple records and files and to organize statistical or financial data for reports.
Ability to proofread for completeness and accuracy and to perform basic mathematical calculations.
Ability to type accurately at a speed of at least 50 words per minute with no more than 3 errors is preferred.
Ability to operate or demonstrate ability to learn to operate a computer using standard word processing and spreadsheet software packages and other data inquiry software.
Excellent grammar and spelling.
Ability to apply rules, regulations and statutes to standard or routine situations.
Ability to make judgements regarding appropriate response to routine questions or situations and to recognize need to refer more complex issues to supervisor.
Ability to establish and maintain effective working relationships with other county employees and officials and with the general public.
Bilingual ability (English/Spanish) and ability to operate a calculator by touch may be preferred.
