Position Summary: The Legal Operations Coordinator provides comprehensive administrative, operational, and program support to the Legal Department. This role is responsible for managing litigation-related processes, maintaining critical compliance programs, coordinating corporate governance activities, and supporting attorneys with contracts, regulatory filings, and special projects. The ideal candidate is detail‑oriented, highly organized, able to manage multiple priorities, and comfortable working with sensitive and confidential information.

Essential Duties & Responsibilities

Litigation, Subpoena & Garnishment Support

  • Manage service of process for litigation, subpoenas, and garnishments.

  • Track and maintain logs for litigation matters, subpoenas, and garnishment requests.

  • Coordinate with internal departments to identify the parties responsible for document production and verify accuracy of all materials received.

  • Monitor and manage the Legal Inbox, responding to branch inquiries and routing items appropriately.

  • Serve as HighQ program administrator, supporting matter management and site maintenance.

  • Assist with special projects such as exams, audits, and regulatory requests.

Attorney Contracts Support

  • Maintain and update contract and lease repositories, including tracking deadlines and status reporting.

  • Draft contracts and legal documents such as procurement NDAs.

  • Prepare assignment letters, contract extension letters, and termination letters.

Notary Program Administration

  • Manage notary program intake, account setup, and employee turnover tracking.

  • Administer renewal monitoring and notary training programs.

  • Respond to notary-related questions and manage the notary inbox.

  • Maintain intranet pages and program documentation.

Medallion Program Management

  • Complete required certification to perform Medallion signature guarantee functions.

  • Onboard new Medallion users and manage ongoing user support.

  • Monitor stamp issuance, distribution, destruction, and tracking compliance.

  • Support user and branch inquiries.

  • Maintain intranet content and records.

Board Support

  • Diligent board portal administration.

  • Provide technical support and troubleshooting.

  • Assist with board meeting preparation and content upload.

Trust Preferred Securities (TruPS) Certifications

  • Coordinate TruPS certification requests with internal stakeholders.

  • Prepare and mail executed forms to external contacts.

Secretary Certificates
  • Prepare secretary certificates.

  • Maintain certificate and resolution repository.

Insider Trading Program Support

  • Maintain designated person listing and send communications as needed.

  • Support general insider trading inquiries.

Mail Intake & Distribution

  • Process mail intake for Legal Department.

FR Y‑6 Annual Filing Support

  • Assist with preparation of the FR Y‑6 Annual Report of Holding Companies.

  • Gather required documentation, complete forms, and coordinate with internal teams.

Experience & Education

  • 2–4 years of legal assistant, paralegal, or compliance experience (financial services experience preferred).

  • Background in litigation-related work.

  • Experience supporting in-house legal departments or law firms.

  • Experience with HighQ, Diligent, or other legal technology platforms.

  • Notary Public Commission (or willingness to obtain).

  • Medallion certification eligible (training provided).

  • Experience supporting corporate governance or bank/regulatory filings.

  • Bachelor’s Degree or Paralegal Certificate preferred.

Skills & Abilities Required

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Ability to handle highly confidential information.

  • Familiarity with legal terminology and basic contracts.

  • Proficiency with Microsoft Office Suite and document management systems.
