What you will do:
This multi-faceted position encompasses both Legal Assistant and Executive Assistant, supporting two senior executives. This position is an integral part of the Legal and Real Estate departments; it requires an adaptable, energetic, & well-organized candidate who is: discrete and able to maintain the confidentiality of corporate information as well as solicitor-client privilege, highly reliable, and a resourceful self-starter with well-developed time management skills. It demands a proactive, effective multi-tasker, able to prioritize varying tasks & deadlines and assist with privileged and confidential matters, and manage matters related to the Executive Leadership Team and the Board of Directors.
This role is required to be in-office at least 3 times per week or more based on the General Counsel’s obligations and Legal Department’s needs. Office location is 1303 Yonge Street, Toronto.
Responsibilities:
Managing all aspects of the executives’ schedules, including planning & scheduling meetings, conferences, coordinating meetings, team events & travel arrangements. Coordinating schedules of all key stakeholders, helping to meet the executives’ overall business commitments.
Assisting the SVP, Real Estate with monthly departmental reports, expense reports. Responding to, and managing, emails, responding to, and redirecting, internal & external requests.
Assisting the General Counsel with matters related to the Executive and Senior Leadership teams as well as the Board of Directors, including business status/update meetings, and quarterly Board/Committee meetings, and the Annual Meeting of Shareholders.
Preparing & submitting reports such as monthly departmental reports, expense reports and managing the Medius accounts payable system for invoices sent to the Legal Department. Responding to, and managing, emails, responding to, and redirecting, internal & external requests.
Assisting members of the Legal Department with legal document production, conducting corporate fillings, assisting with minute books and other corporate record keeping tasks.
Drafting, managing and maintaining the various legal documents and precedents used by the Legal Department.
Preparing for, and attending as requested, various senior team, departmental, partner/client meetings. Creating agendas & taking meeting notes, with emphasis on action items, assignment of items, deadlines etc., and following up to ensure the completion of all action items. Coordinating and managing all meeting times, booking rooms & planning necessary supplies/refreshments.
Assist in/arranging & planning departmental, corporate & social events such as offsite meetings, corporate dinners, staff appreciation events, help to decorate the office area for seasonal events/celebrations etc.
What You Will Need:
Post-secondary degree or diploma
Minimum of 3 years of law firm or corporate legal department experience supporting senior lawyers in legal and administrative matters.
MS Office skills in Word, Excel, PowerPoint, Outlook & Teams
Strong organizational skills, acute attention to detail & the ability to juggle multiple tasks while still meeting deadlines.
Ability to work independently, as well as within a larger team environment.
Excellent communication skills, with the ability to effectively communicate & collaborate with a diverse range of people & job functions.
Flexibility & ability to adapt to rapidly changing priorities & an openness to assist wherever needed.
Strong guest service focus in dealing with both external and internal guests, displaying an image of professionalism, discretion, integrity and tact.
Knowledge of French will be considered an asset
