Job Description

The US Leave & Accommodation Specialist is responsible for administering employee leave requests and workplace accommodations in compliance with the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), and applicable state and local leave laws. This role serves as a subject matter specialist who manages cases end to end, ensuring a consistent, compliant, and employee centered experience while maintaining strong documentation and audit readiness.
The Specialist plays a critical role in supporting employees through sensitive moments, partnering closely with People Solutions, managers, and Shared Services, and leveraging Workday as the system of record for all leave and accommodation processing.

Key Responsibilities

Leave Administration

  • Process and administer federal, state, and company leave requests, including FMLA, state paid family/medical leave programs, and non‑FMLA medical leaves.
  • Determine eligibility, issue required notices, track leave usage, and ensure timely and accurate communication with employees and managers.
  • Coordinate concurrent leaves where applicable and ensure proper job protection and benefit continuation requirements are met.

ADA & Accommodation Management

  • Manage the ADA interactive process from intake through resolution, including review of medical documentation and identification of reasonable accommodations.
  • Assess accommodation requests in accordance with ADA requirements and applicable state laws, while evaluating undue hardship considerations.
  • Partner with HR Business Partners and leaders to implement approved accommodations and support successful return‑to‑work outcomes.

  Compliance & Documentation

  • Maintain detailed, confidential, and legally defensible case documentation to support audits, claims, and potential litigation.
  • Ensure compliance with federal, state, and local leave and accommodation laws, applying the most protective standard where laws differ.
  • Monitor regulatory updates and flag compliance risks or process gaps

  Systems & Process Ownership

  • Serve as a Workday power user for leave and accommodation transactions, case tracking, and reporting.
  • Ensure accurate data entry, case status updates, and adherence to standardized operating procedures.
  • Identify opportunities to improve efficiency, employee experience, and consistency through process refinement and automation.

Partnership & Employee Support

  • Act as a trusted point of contact for employees navigating leave or accommodation needs, providing clear, compassionate guidance.
  • Collaborate with Shared Services, HR Business Partners, Legal, and Benefits to ensure seamless case management.
  • Support education of managers on leave and accommodation processes and expectations.

Required Qualifications

  • 3+ years of hands‑on experience administering FMLA and ADA accommodations in a complex U.S. environment.
  • Strong working knowledge of federal, state, and local leave laws, including state paid family/medical leave programs.
  • Demonstrated experience managing the ADA interactive process and reviewing medical documentation.
  • Workday experience required, specifically in leave administration, case management, or HR transactions.
  • Proven ability to manage multiple cases simultaneously while meeting deadlines and maintaining attention to detail.
  • High level of discretion and professionalism when handling sensitive and confidential information.

Preferred Qualifications

  • Experience supporting a multi‑state or remote workforce.
  • Prior experience bringing leave and accommodation administration in‑house from a third‑party vendor.
  • Familiarity with audit readiness, compliance reviews, or internal investigations related to leave or accommodations.
  • HR certification (PHR, SHRM‑CP) or relevant compliance training.

The base salary range for this position is $72,000 - $85,000, plus incentives that align with individual and company performance. Actual salaries will vary based on work location, qualifications, skills, education, experience, and competencies. Benefits available to eligible employees in this role include medical, dental, and vision insurance, comprehensive employee assistance program, 401(k) retirement savings plan, paid time off and holidays and paid learning days.
