Upstream Rehabilitation, is looking for a Lease Renewal Specialist to join our team

  

The Lease Renewal Specialist is responsible for managing lease renewals and related processes for a portfolio of real estate assets. This role involves executing negotiation strategies, ensuring timely renewals, and optimizing operational and financial performance to support EBITDA-focused decisions. The Lease Renewal Specialist will work closely with the Director of Real Estate to ensure lease renewals are executed efficiently while maintaining strong tenant relationships and ensuring profitability. 

Key Responsibilities: 

  • Lease Renewal Management: 
    • Manage the end-to-end process for lease renewals across a portfolio of properties, ensuring that renewals are timely and aligned with company objectives. 
    • Track critical lease dates and collaborate with property managers and other stakeholders to ensure smooth renewal processes. 
    • Coordinate renewal offers, ensuring that all terms are clear and compliant with corporate guidelines. 
  • Negotiation Strategy & Execution: 
    • Lead the negotiation process for lease renewals, ensuring favorable financial terms, including rent adjustments, tenant incentives, and lease clauses that support company goals.
    • Analyze market conditions, competitive rent rates, and property performance to guide negotiation strategy. 
    • Collaborate with the Director of Real Estate to develop strategies that maximize profitability while considering tenant retention. 
  • Partnership with Director of Real Estate: 
    • Work closely with the Director of Real Estate to align lease renewal strategies with broader business and financial objectives. 
    • Provide input on lease terms, rent escalations, and long-term property strategies, ensuring alignment with financial and operational goals. 
  • Financial and Operational Analysis: 
    • Analyze financial performance related to lease renewals, ensuring that all renewals align with EBITDA-focused goals. 
    • Monitor and report on key performance indicators (KPIs) related to lease renewal success, such as renewal rates, rent growth, and tenant retention. 
    • Collaborate with finance and accounting teams to ensure renewals are properly accounted for and aligned with budget projections. 
  • Tenant Relationship Management: 
    • Maintain positive and professional relationships with existing tenants, addressing any concerns or questions related to lease renewals. 
    • Serve as a point of contact for tenants during the renewal process, ensuring clear communication and a smooth experience. 
  • Legal and Compliance Oversight: 
    • Ensure that all lease renewals adhere to legal and regulatory requirements. 
    • Work with legal teams to review and finalize renewal documents, ensuring compliance with corporate policies and procedures. 
  • Reporting and Documentation: 
    • Prepare reports and presentations for senior leadership on the status of lease renewals and key performance metrics. 
    • Maintain accurate records of all lease renewals and associated documentation, ensuring that all information is up to date and easily accessible through the use of Monday.com or other project management software. 

Requirements: 

  • Education: 
    • Bachelor’s degree: Business Administration, Real Estate, Finance, or a related field. A professional designation such as a Certified Leasing Specialist (CLS) or Real Property Administrator (RPA) is a plus. 
  • Experience: 
    • 3+ years of experience in real estate, lease administration, property management, or a similar role. 
    • Proven track record of successfully managing lease renewals, negotiations, and tenant relations. 
    • Strong understanding of financial principles, including EBITDA, rent roll analysis, and real estate market trends. 
  • Skills: 
    • Negotiation Skills: Ability to negotiate favorable lease terms while balancing tenant relationships and profitability. 
    • Analytical Skills: Strong proficiency in analyzing financial data, lease agreements, and market trends to inform decision-making. 
    • Communication Skills: Excellent verbal and written communication skills, with the ability to work effectively with internal teams, tenants, and external stakeholders. 
    • Project Management: Ability to manage multiple renewal processes simultaneously, ensuring deadlines are met and renewals are completed efficiently. 
    • Attention to DetailHigh level of accuracy in managing lease documents, financial reports, and negotiations. 
    • Technological Proficiency: Familiarity with lease management software, Microsoft Excel, and other relevant real estate tools. 
  • Personal Attributes: 
    • Strong problem-solving abilities and a proactive approach to resolving issues. 
    • A results-oriented mindset with a focus on profitability and operational efficiency. 
    • Ability to work independently and as part of a collaborative team. 
    • High level of integrity and professionalism in all interactions. 
  • Preferred Qualifications: 
    • Experience in managing lease renewals for large real estate portfolios. 
    • Knowledge of real estate law and tenant rights. 
    • Familiarity with commercial real estate markets and trends. 
  • Physical Requirements: 
    • Ability to work in a standard office environment.
