Lendlease Singapore is seeking a Lease Admin Executive to support the development leasing team with administrative support and other leasing functions with the completion of Shaw Tower.
Responsibilities:
1. Viewing coordination & prospect tracking
• Schedule and manage property viewings across multiple assets; coordinate with leasing agents, tenant representatives, and prospective tenants
• Track and record all prospects, interest, and viewing activity in an organised log or system
• Prepare and circulate tenancy information packs and floor plans ahead of viewings
• Assist with preparation of site walk PPE and ensure units are presentation-ready prior to inspections
• Follow up with agents post-viewing to track prospect status and feedback
2. Lease documentation & compliance
Draft and administer letters of offer, lease agreements, variation deeds, and tenant onboarding documents, maintaining a complete audit trail for every transaction
• Track key lease dates including expiry, rent review, renewal options, ROFO, and other critical milestones
• Maintain organised and up-to-date lease files, both physical and digital
• Ensure CEA/compliance forms are accurately completed and signed by all relevant parties
• Handle stamping and filing of legal documents where required, including arranging courier, printing, and mailing
3. Liaison with external legal counsel
• Serve as the day-to-day contact with lawyers for lease drafting, review, and engrossment; relay and track tenant’s solicitor comments and redlines
• Coordinate execution, stamping, and lodgement of commercial leases in accordance with statutory requirements
• Assist in tracking legal matter progress against agreed timelines to minimise delays to lease commencement
4. Reporting & administration
• Compile monthly occupancy, vacancy, and lease expiry reports; maintain tenancy schedules with accurate commercial terms
• Produce deal pipeline summaries and rent rolls for review by the leasing and asset management team
• Take minutes during leasing and tenancy meetings and distribute action points to relevant parties
• Assist with scheduling and setting up internal meetings, including room bookings and calendar coordination
• Support ad-hoc reporting for investor or board presentations as directed
• Maintain a tracking sheet on market comparable
5. System data entry & maintenance
• Accurately input and maintain commercial lease data in Yardi or equivalent property management system, including tenant details, NLA, base rent, outgoings, incentives, and critical dates
• Assist with rent roll maintenance, ensuring all lease terms and financial data are current and accurate
Set up new tenancies and update records upon lease commencement, rent review, renewal, or expiry
• Conduct regular data audits to ensure system accuracy; flag discrepancies to the Leasing Manager or Finance team
• Ensure rent escalation clauses, CPI reviews, and market review triggers are correctly captured and flagged ahead of activation
Requirements:
• Diploma in Real Estate, Property Management, Business, or related field
• 2–4 years of relevant experience preferred
• Proficiency in MS Office, particularly Excel; comfortable learning new systems • Familiarity with commercial lease structures, rent review mechanisms, or
critical date tracking
• Experience with Yardi, MRI, Re-leased, or similar property management systems
• Exposure to office, retail, or industrial asset classes
• Prior internship or part-time experience in real estate or property administration
