Learning Management System Coordinator

This role is responsible for coordinating and supporting multiple learning programs across the organization. This role includes managing communications with participants and managers, maintaining accurate attendance records, and entering and updating schedules within the Learning Management System (LMS).

The position also provides backup support to the LMS Analyst, ensuring continuity of system-related processes and reporting.

JOB RESPONSIBILITIES 

  • Coordinate multiple learning programs.
  • Manage scheduling and reminder emails to both managers and participants for upcoming learning sessions or deadlines.
  • Assist with managing participant session enrollment.
  • Track and monitor participant attendance using spreadsheet tools, based on data from the Learning Management System (LMS) or facilitators.
  • Input monthly training schedules and course details into the LMS.
  • Serve as a backup for the LMS Analyst, providing support as necessary.
  • Collaborate with stakeholders to gather reporting requirements, clarify data needs, and ensure alignment on key metrics and outcomes.
  • Develop and deliver recurring reports to stakeholders summarizing program progress, key metrics, and overall outcomes.
  • Perform other duties as assigned.

MINIMUM REQUIREMENTS

Education

  • High School Diploma or equivalent required.
  • Associate degree or 2–4 years of relevant experience in program coordination, with demonstrated proficiency in the Microsoft Office Suite preferred.

Experience

  • A minimum of 2 years of administrative support or customer service experience is required.
  • Previous experience in a program coordination or administrative support role.
  • Familiarity with learning management systems (LMS) is a plus.
  • Familiarity with Workday is a plus.
  • Workday Administration Experience is a plus.
  • Bilingual in French or Spanish is a plus.

Knowledge, Skills and Abilities

  • Able to manage concurrent workstreams, maintain attention to detail, and adapt to evolving technologies and shifting priorities
  • Demonstrated proficiency in basic data analysis, including reviewing, interpreting, and summarizing data to support reporting and decision-making.
  • Strong writing and verbal communication skills
  • Proficiency in Microsoft Office Core Suite (Excel, Word, Outlook, PowerPoint).
  • Excellent organizational and time management skills.
  • Problem-solving skills and the ability to resolve issues efficiently.
  • Ability to learn and adapt to new technologies and systems.
  • Ability to set priorities and demonstrate flexibility to quickly adjust to changing priorities.
  • Strong attention to detail and multi-tasking abilities.
  • Work with minimal supervision.
  • Previous experience working in an HR Management or Learning Management System.
