The ultimate responsibility of this role is to create additional bandwidth and capacity for a DPR Leadership Team member for Sales + Marketing (Get Work), while also supporting the effectiveness of the broader Get Work Leadership Team, including leaders across Marketing and Get Work Centers of Excellence.

This role will provide primary executive support to the Sales & Marketing Leader, while also offering shared administrative and coordination support to the broader Get Work leadership team where appropriate. This may include assisting leadership team members with calendaring, travel coordination, expense management, meeting logistics, and preparation of materials.

This role helps ensure leaders are organized, prepared, and able to focus on the highest-value work by improving coordination, communication, and follow-through across leadership priorities and initiatives.

This is a trusted role that requires discretion and implied confidentiality. Over time, the individual will be expected to identify—and eventually anticipate—administrative and process-oriented needs, helping streamline activities that enable leaders and teams to operate more effectively.

Responsibilities:

  • Provide primary executive support to the Sales & Marketing Leader and shared administrative support to Get Work leadership team members as appropriate

  • Facilitate clear and professional communication with internal and external stakeholders

  • Anticipate needs and help prioritize time, acting as a gatekeeper to protect leader focus

  • Manage complex calendars, coordinating meetings, conference calls, and events

  • Coordinate domestic and international travel arrangements and maintain detailed itineraries

  • Assist leadership team members with travel and scheduling as needed

  • Plan and coordinate leadership meetings, workshops, and offsites, including agendas, logistics, and follow-up actions

  • Coordinate meeting logistics such as scheduling, meeting space, and catering

  • Capture meeting notes and track action items

  • Manage email prioritization and draft communications when appropriate

  • Prepare presentations, reports, and meeting materials

  • Support preparation and distribution of leadership communications, pre-reads, and summaries

  • Support scheduling and organization of leadership check-ins and development discussions

  • Prepare and process expense reports (ChromeRiver)

  • Maintain organized digital files and leadership materials

  • Conduct research and gather supporting information as needed

  • Provide additional administrative and ad hoc support as requested

Qualifications:

  • Professional written and verbal communication

  • 5+ years supporting C-Level executives

  • Experience planning both domestic and international travel

  • Proficient with Microsoft Office (OneDrive, Outlook, Word, Excel, PowerPoint, Teams, etc)

  • Proficient with expense reporting software, preferably ChromeRiver

  • Experience working in an A/E/C industry a plus

  • Exceptional attention to detail, organizational and time management skills

  • Ability to problem solve, ask questions, identify issues

  • Ability to work independently and take ownership of role and responsibilities

  • Ability to remain flexible in the face of changing deadlines, travel plans and calendars

  • Ability to maintain discretion and strict confidentiality

  • Ability to anticipate needs and show a high level of initiative

Anticipated starting pay range:

$75,000.00- $115,000.00
