Job Summary

Under general direction, the Lead (SR) Project Manager facilitates effective communication between clients and our graphic design and print shop teams. The role is responsible for ensuring timely project delivery, adherence to budget, and high-quality outcomes. This involves collaborating with both internal and external clients to define project scope, assisting clients in creating job tickets, and advising on suitable mediums and project outcomes. Additionally, the Lead (SR) Project Manager maintains comprehensive records of client interactions and serves as a liaison among clients, graphic designers, and print shop staff.

Job Description

Essential Job Functions

  • Coordinate with Administrative Services personnel and clients to ensure projects are completed to client specifications and delivered in a timely manner.
  • Act as the primary point of contact between the Administrative Services staff and clients.
  • Communicate project updates, gather feedback, and manage client expectations.
  • Ensure client satisfaction by delivering high-quality work and addressing any concerns proactively.   
  • Enter and complete job tickets in the Print Shop Pro project management system while ensuring accurate billing. 
  • Provide the graphic design team with a sketch of proposed ideas so that layout, color, content, and typography can be completed to client’s satisfaction. 
  • Reviews proofs to examines content and format; submit to client for approval; and upon client approval, coordinates with Operations Manager and Creative Services Supervisor to determine print and finishing processes.
  • Review and evaluate existing forms to establish usage level and obsolescence to determine whether forms are duplicated and could be eliminated or combined with other forms. 
  • Enter Job Tickets into Print Shop Pro. Meet with customers to request verification of project scope, quantities used, or revisions needed. 
  • Prepare quotes upon request by customers. Issues work orders for the preparation, processing, and completion of complicated printing requests, such as printing election ballots, four color process printing, and posters with close register and multicolor. 
  • Assume the duties of Forms and Office Supplies Coordinator in their absence.

Required Skills, Knowledge, and Abilities

Skill in customer relations, communication, and sales; in operating a personal computer; and in keeping accurate records and files. 

Advanced knowledge of paper, card, and cover stock; of printing processes; of inventory control; of statutory and regulatory provisions establishing and limiting official materials; of forms inventory and currently used forms; of departmental policies and procedures; of project management applications, MS Word, MS Excel, and Workday; of forms and office supplies; and of simple bookkeeping procedures. 

Ability to work tactfully with others; to interpret what the customer envisions as the finished product; to write clearly and concisely; and to express ideas orally and in writing.

Computer Skills

To perform this job successfully, an individual should have knowledge of Customer Relationship Management applications (CRM), as well as word processing, spreadsheet, database, and Internet applications.

Supervisory Responsibilities  

Directly supervises Project Management team and Forms and Office Supply Coordinator. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include training employees; planning, assigning, coordinating, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience

Graduation from an accredited college or university with an Associate degree in Business Administration or a related field and over three years full-time paid employment in an office service, printing, forms control position or a closely related job, or equivalent combination of education and experience.

Language Skills  

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers and employees of the organization.

Mathematical Skills  

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumferences, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability  

Ability to apply common sense understanding to carry out instructions furnished in written, oral, of diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
