Hourly Pay Range (Minimum - Midpoint - Maximum):
$26.130 - $32.670 - $36.590
The stated pay scale reflects the range that Sharp reasonably expects to pay for this position. The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.
This position will oversee imaging schedulers in multiple different imaging clinic sites.
What You Will Do
The Lead Rad Rep Schedule provides oversight of the day-to-day workflow, duties, and responsibilities of the imaging schedulers to ensure productivity and quality are maintained. This position assists in the supervision of the schedulers including hiring, coaching and counseling of the schedulers, and assuring performance appraisals are completed in a timely manner. The Lead also provides support to the Imaging Services Department by schedule complex imaging procedures for all imaging modalities. Obtain all necessary documents for scheduled procedure, which must include, but not limited to; correct imaging order, CPT and billing codes, ensures that all necessary medical records, labs, images and results are available prior to procedures. When procedure indicates, coordinating scheduled procedures with surgery and anesthesia services. Communicates scheduling date and times with patient and ordering physicians offices. Provides a high level of customer service in a manner consistent with Sharp HealthCare mission and goals.
Required Qualifications
- 2 Years of appropriate experience.
- 2 Years medical office experience required with emphasis on procedure scheduling.
- AHA Basic Life Support for Healthcare Professional (AHA BLS Healthcare) - American Heart Association -REQUIRED

- High School Diploma or equivalent, or 2 year related experience. - Required
Essential Functions
- Documentation
Accurately completes necessary paperwork and other documentation needed to obtain authorization.
Communicates professionally with appropriate health care organization.
Documents authorization appropriately, i.e. IDXRAD, Medical Record, etc.
Provides Billing Department with requested authorization information.
Requests retroactive authorizations when deemed appropriate.
Meets time requirements as outlined by ordering provider.
Stays current with all health plan authorization requirements and changes.
Identify patient health insurance with corresponding plan code. - Receptionist duties
Greets patient and their family members in a professional and caring manner.
Manages phone calls professionally by answering each call promptly and identifies self to caller using department approved greeting.
Prioritizes job functions as necessary.
Cares for patients and family members professionally and with respect, assisting them as needed.
Manages flow of patient records by verifying demographics, MPI Registration and arriving patient in IDXRAD.
Maintains a clean and orderly waiting area.
Serve as a liaison between clinical and administrative areas to ensure sound working relationships and cooperative arrangements. - Scheduling
Schedules for all imaging modalities; Cat Scan, Interventional, Nuclear Medicine, PETCT, Ultrasound, Vascular Ultrasound, EEG and all general exams.
Obtain orders to ensure they include all necessary and correct information; authorization, diagnosis and CPT codes, current history, date/time, physician signature, patient demographics, correct order/body part and side, current medication list, current history and physical/office notes.
Fax next day procedure schedules to multiple departments; CV2, SPA, 5S, CPPC for bed placement.
Pre-register patients to include all correct patient demographics and create visit to include current insurance information, auth info.
Patients with multiple procedures ordered for one day must be coordinated with all modalities and departments.
Gather all necessary documents for Radiologist review to ensure procedure appropriateness.
Communicate with outside offices to obtain correct documentation prior to scheduling procedure.
Coordinate and schedule anesthesia services with surgery schedulers.
Communicate with the patient and/or their designee to inform them of date and time of schedule procedure.
Coordinate patient consultation with appropriate Radiologist.
Inform appropriate leadership and/or staff when special requirements are requested on patient orders.
Assist in coordinating /arranging patient transport, as needed.
Schedules procedures/exams in appropriate room, in the appropriate modality, for the appropriate times and days.
Assures there are no conflicts with shared resources.
When possible, assures same doctor and same type cases follow in same room.
Assures rooms are closed appropriately. - Teamwork
Assists at other radiology sites to maintain adequate staffing.
Demonstrates responsiveness to physician's needs in maintaining an efficient schedule and quality service to the patient.
Prioritize assignments effectively by setting work goals and objectives in consultation with others. - Time management
Assist co-workers with their tasks.
Maintain a safe and neat work environment.
Inform supervisor or lead when available for additional work assignments.
Assist in training new employees.
Completes department maintenance tasks daily. Prepares workstation at the beginning of shift, cleans up area at the end of shift.
Communicates status of workstation to work partner at the end of shift. - Human Resource Management

Adhere to the HIPAA (Privacy Act) as it relates to the confidentiality of information released.
Maintain up-to-date knowledge of the health system’s policies and procedures and use this knowledge when appropriate.

- Strong verbal and written communication skills.
- Medical office experience.
- Knowledge of Medical Terminology.
