Job Description
Our policyholder services division is seeking a new onsite lead administrative specialist to provide technical guidance and leadership to the customer support and regional support teams. Working closely with your supervisor you will coach staff, address their training needs, identify gaps in processes, and work to improve them.
Your team of administrative professionals will look to you for day-to-day direction and professional growth support. You will be responsible for fostering a collaborative and supportive work environment that consistently meets the needs of the team and the customers they serve.
Please note: This is a Monday - Friday on-site position. On-site employees are required to travel to and from SAIF’s office in Salem, Oregon on a regular basis at their own expense.
Responsibilities
- Provide technical guidance and onsite leadership to PHS administrative support staff by serving as the primary contact for process related questions, issues, and task requests. Foster a supportive team environment through mentoring and coaching and ensure timely resolution of problems or appropriate escalation to management and business partners.
- Build rapport and relationships to create trust and discover what motivates employees to best address learning needs and enhance job performance. Ability to remain agile to different learning styles and preferences.
- Assist with learning or training gaps to target and address specific needs. Works in collaboration with the supervisor to identify and address training needs of the team.
- Conduct quality assurance reviews of staff work products in alignment with established guidelines and communicate findings to the supervisor. Use insights from these evaluations to recommend business process and workflow improvements, serving as a technical resource during implementation and collaborating with management to develop or revise team policies and procedures.
- Support departmental projects by ensuring pending details are addressed, coordinating project team activities, resolving issues, and ensuring deadlines are met.
- Understand the CCC phone queues, work distribution and scheduling system to ensure proper phone coverage and adequate task assignments. Monitor daily work volume and make informed resource allocation decisions between the workflows. Ensure adequate phone coverage and task distribution to maintain high customer service levels, consult with the supervisor when additional staffing or overtime is needed.
- Assist with performing quality assurance checks on staff work product in accordance to guidelines, keeping the supervisor aware of results.
- Assist the supervisor in identifying, developing, and providing training. Ensure team members are trained in tasks for efficient operations and backup within the team.
- Back up supervisor responsibilities during absences, including redistribution and delegation of work as needed. Also serve as a back-up for essential onsite functions when there are staffing challenges.
- Maintain accurate records when entering data into SAIF applications, ensuring compliance with data integrity standards.
- This position requires driving a SAIF vehicle or personal vehicle on behalf of SAIF. The incumbent is required to possess and maintain a valid driver’s license in their state of residence along with an acceptable driving record according to SAIF’s policy.
- This is an essential onsite position requiring working in the office five days per week.

Additional functions:
- May perform additional duties within administrative operations as needed. May need to provide backup coverage for DA responsibilities around the state.
- Gather statistical information from applications and company reports. Compile and analyze data and prepare reports for management.
- Perform other duties as assigned by management to support team objectives and organizational goals, demonstrating flexibility and adaptability in responding to evolving priorities and needs.

Compensation & Benefits
Typical hiring range: $62,581 - $73,625. The pay range for this position is annually based on a full-time schedule. Actual compensation will be determined using factors such as experience, skills, training, certifications & education.

Full salary range: $55,220 - $92,030
