Job Summary: The Lead Medical Support Assistant (LMSA) position is in the Chief of Staff office at the Miami VA Healthcare System and reports to the Executive Assistant of the the Chief of Staff. The duties and responsibilities are carried out throughout the various clinical services in the entire medical center, thus action as a liaison between Chief of Staff office and the clinical services within the scope of her/his work.
Major Duties:
Qualifications: Basic Requirements: Citizenship. Citizen of the United States. English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j Grandfathering Provision: May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Certification. None Required. Grade Determinations: In addition to meeting the basic requirements for employment listed above, the following experience criteria must be met for the Lead Medical Support Assistant, GS-7. Experience. One year of experience equivalent to the GS-6 grade level. Assignment. The LMSA is responsible for the coordination of MSA/AMSAs assignments and workflow found in an interdisciplinary unit. Performs administrative support for the supervisor to include schedule and agenda of staff/meetings. The LMSA is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings. Reports performance progress and disciplinary problems. Make recommendations on promotions, reassignments recognition of superior performances and other personnel matters. The LMSA assist the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources. LMSA verifies patient's eligibility for treatment and refer patients to the appropriate resources for assistance. LMSA ensures staff is knowledgeable of the services provided and are prepared to provide requested information, ensures all visitors and telephone calls are handled in a prompt and courteous manner, maintains computer literacy and make sure appropriate messages and referrals are made and works with VISTA. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. Ability to provide staff development and training. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics. Preferred Experience: At least one year experience at GS Level 6 with scheduling and customer service skills. Proficiency navigating medical system portals, Excel, Word, Outlook, and Teams is a must. Physical Requirements: The Medical Support Assistant work is mostly sedentary; however, some walking; standing, and carrying light items are required. Light filing, sometimes involving working close to the floor, is involved. Wrist and back protection can be provided to minimize the risks associated with prolonged use of automated data processing equipment.
