Position Overview

The Medical Operations Manager, Poland at Exact Sciences works closely with the Chief Medical Officer International and the medical teams based across Zug, Warsaw, other international markets and the U.S. based Headquarters to own those Medical processes & trainings that impact all Ex-U.S. International markets.

The current focus is on all processes and systems supporting the objectives for novel assays which lead to improved treatment decisions for breast cancer patients, most notably the Oncotype DX Breast Recurrence Score Assay. The International region includes Europe, Canada, Africa, Asia Pacific, Latin America. 

The place of work is Warsaw, Poland.

Key responsibilities include defining and owning key medical processes (e.g. grants & donations, medical material review, KOL engagement & strategy, medical planning process, meetings and events, financial systems, MSL CRM system, congress attendance, International Medical Leadership Team).

Essential Duties

Include, but are not limited to, the following:

  • Leads the delivery of International Medical Governance model & meetings, including international Medical Leadership team, Medical Townhall meetings and regular medical educational events (International Medical Affairs Team).
  • Delivers monthly balanced scorecard for International Medical (consistent through countries) that highlights performance with a focus on outcome-based measures. This scorecard pulls on various systems including Veeva that captures in field performance.
  • Secures the integration of the different IT systems to Medical International including Veeva and Finance systems.
  • Leads the grant & donations processes to ensure full compliance and timely execution of requests.
  • Identifies, leads and executes process initiatives across the medical organization and with partner functions (e.g. KOL strategy execution)
  • Leads and delivers the strategy for onboarding of all new Medical employees across the organization.
  • Works closely with CMO to help prepare presentations ad reports for delivery to key internal and external audiences (partnering with various medical teams).
  • Leads the budgeting and finance tracking for all Medical spend across the region ($8m pa and 60HC in 25) with support of International Medical administrator.
  • Owns and manages the international congress attendance strategy for the year and works closely with key internal stakeholders in International and the U.S.
  • Leads and owns the medical planning process including all key milestone and plan reviews.
  • Leads and owns the AOP financial planning process including all key milestone and plan reviews with senior management.
  • Serves as key Medical Liaison to Compliance team and works on identifying and delivering key SOPs that need to be developed.
  • Leads the Medical community build across all of the international region (regular Townhalls, Annual face-to-face meetings).
  • Strategically designs the strategy and execution for all Medical functional training programs (with external vendors as needed).
  • Acts as the key interface with Clinical Affairs team to manage the Investigator Study trial (IST) process from study concept through to study closure (including internal approvals, contracting, budget follow up and study closure).
  • Works closely with MSL managers (EU/Japan) to support MSL operational excellence (metrics, training & standards).

  • Maintain regular and reliable attendance.
  • Ability to act with an inclusion mindset and model these behaviors for the organization.
  • Ability and means to travel 10-20%.

Minimum Qualifications

  • Ph.D. in Medical / Pharmaceutical or Health Science / or field as outlined in the essential duties. PharmD Degree is preferred.
  • 4-6 Years of industry experience (working in medical affairs - pharma/biotech/med tech).
  • Proven record of working in matrix environment and delivering as part of a cross-functional remote team. Strong across/above market experience desired.
  • Solid track record of multi-project management and execution.
  • Knowledge of IT Systems including VEEVA advantageous.
  • Knowledge of building and tracking complex financial budgets.
  • Previous experience or knowledge of working as medical science liaison advantageous.
  • Track record of process improvement.
  • Excellent oral, written and presentation communication skills. Excellent English, multiple languages preferred.
  • Ability to independently deliver quality results in a timely manner.
  • Track record of delivering innovative Medical activities across markets.
  • Expertise in Oncology a plus.
  • Experience in Diagnostics or Biotech industry is a plus.
  • Demonstrated ability to perform the essential duties of the position with or without accommodation.
  • Authorization to work in the country of work without sponsorship.
     

Preferred Qualifications

  • Knowledge of other languages (French, German, Italian, Polish, Spanish) and/or Japanese.
