Position Purpose:

The Lead - Facilities is responsible to provide a professional, comprehensive facilities services.

Job Responsibilities:

Contract Management

  • Tracking Opex (Operating Expenses) and Capex (Capital Expenditures).

  • Vendor Relations & Management: Sourcing and managing contractors (cleaning, security, landscaping/greenery, multiskilled technicians), negotiating contracts, and ensuring they hit their Key Performance Indicators (KPIs).

  • Procurement: Overseeing the stock levels and timely purchase of office supplies, furniture, and maintenance equipment.

Operational Oversight

  • Space Planning: Managing seating charts, office moves (“churn”), and optimizing how the square footage is used.

  • Health & Safety (EHS): Ensuring the building meets local regulations, fire codes, and safety standards. You’re often the one leading the “Safety Committee.”

  • Help Desk Management: Overseeing the ticketing system where employees report issues.

Team Leadership

  • Supervision: Leading a team of admin assistants, receptionists, or mailroom staff.

  • Process Improvement: Creating Standard Operating Procedures (SOPs) so that everyone knows exactly what to do when a pipe bursts at 3:00 AM.


Qualifications:

  • Graduate of any 4-year business course from a reputable learning institution, working experience at least 2 years.
  • People person, customer-focus, must be willing to adapt to
    changing work schedule/shifts
  • Ability to communicate effectively, verbally and in writing
  • Good organizational skills. (safety awareness)
  • Working knowledge of Word, PowerPoint, Excel
  • Ability to make decisions independently and to work reliably and responsibly with a minimal amount of supervision
