Job Description Summary

The Junior Facilities Coordinator supports the delivery of reactive and proactive maintenance services across a designated portfolio at a reduced volume. Working under the guidance of the Senior Facilities Manager and Facilities Coordinators, the role assists with work order coordination, contractor communication, data management and basic claim and compliance checks.

This position is suited to an entry-level or developing facilities professional, providing exposure to facilities operations, contractor management and client systems while building capability, confidence and technical understanding in a structured and supported environment.

Job Description

About the role:

Maintenance Operations

  • Assist with receiving and triaging reactive and proactive work orders
  • Support allocation of work orders to contractors under guidance
  • Monitor assigned work orders to ensure progress and timely completion
  • Assist with checking completion documentation including photos and certificates
  • Support basic review of quotes and variations within delegated limits
  • Update and maintain accurate data in the client Work Order Management System (WOMS)
  • Escalate issues relating to scope, delays, access or cost to senior team members

Contractor Support

  • Assist with day-to-day communication with contractors
  • Support contractor onboarding and offboarding processes
  • Assist with checking contractor compliance documentation
  • Escalate WHS, performance or compliance concerns as identified
  • Support preparation for Contractor Performance Reviews when required

Continuous Improvement and Learning

  • Follow established procedures, playbooks and operating manuals
  • Actively participate in training and development opportunities
  • Identify process inefficiencies and raise improvement suggestions
  • Provide support to the team during periods of leave or workload peaks

General Responsibilities

  • Ensure delegated authority limits are understood and adhered to
  • Perform other reasonable duties as directed by management

About you:

  • Entry-level experience or exposure to facilities maintenance, administration, customer service or contractor coordination.
  • Some previous experience working in the property or facilities industry (e.g. work experience, paid or unpaid part-time roles) desirable.
  • Strong interest in facilities management and service delivery
  • Ability to manage priorities and follow instructions

  • Good communication skills with a customer-focused approach
  • Clear written and verbal communication
  • Ability to work collaboratively within a team environment and unsupervised
  • Strong attention to detail
  • Basic computer literacy skills
  • Experience using Microsoft Teams, Outlook, Excel and SharePoint (desirable)
  • Willingness to learn systems, processes and industry requirements
