JLL Japan Admin – Role Description
The Japan Admin role is introduced to strengthen coordination, governance, and backup support across JLL Japan IFM operations, within the existing cost framework.
The role supports the Sub‑Regional Lead and complements the current Japan Lead function by providing planned backup, hands‑on site support, and structured information flow across Japan.
Key focus areas include 1 FTE / lean sites, West Japan, and effective information cascade from Tokyo HQ to site level.
This role is intentionally designed to remain flexible, prioritizing capability, operational readiness, and execution over title, location, or fixed seniority.
The role is defined by responsibilities and required capabilities, not by any individual
Priority is given to candidates who can think and act independently and provide clear, practical guidance to site teams
Where such capability already exists internally, the role can be activated quickly with reduced transition risk
Final assignment remains flexible and capability‑based, aligned with business needs and resource availability, and the Japan Admin role is designed to be person‑independent, allowing fulfilment through existing internal resources where available
Support Sub‑Regional and Japan leadership with coordination, reporting, and follow‑up
Complement the Japan lead role by taking ownership of execution and site‑level support
Identify risks, gaps, and transition issues across all Japan sites
Travel to Sukagawa and other Japan sites, not limited to a single location
Priorities 1 FTE / lean sites, where operational risk and isolation are higher
Provide enhanced support and visibility for West Japan sites
Reduce reliance on reactive, last‑minute leadership intervention
Act as a bridge between Tokyo HQ and all Japan sites
Ensure Tokyo HQ guidance, expectations, and decisions are clearly cascaded to site teams
Be added to relevant distribution lists (DLs) for Sukagawa and all West Japan sites to maintain awareness of real‑time operational issues
Support site leads using practical examples and site context, guiding them logically and strategically rather than simply requesting task completion without direction
Establish and maintain structured operational knowledge to reduce dependency on individuals
Support standardised onboarding and handovers to improve continuity and resilience
Strengthen communication and guidance, particularly for 1‑person and remote sites
Coordinate with site teams, vendors, and regional stakeholders as required
Support governance‑aligned communication without increasing site burden
Remote based work is acceptable
Travel across all Japan sites is expected on a planned and purposeful basis
Site visits are for engagement, guidance, and oversight, not to replace onsite roles
Not a site Facilities Manager role
Not a daily onsite position
Not a cost‑driven headcount increase
As a practical implementation option, the Japan Admin may initially:
Shadow the Japan / Sub‑Regional Lead to understand role expectations, priorities, decision logic, and operating model
Build visibility into Japan‑wide issues, escalation themes, and stakeholder interactions
Begin hands‑on support for site members, particularly in areas where direct leadership engagement is constrained
This phased approach enables low‑risk onboarding, strong alignment, and faster value delivery.
