IT Vendor and Contract Specialist

Job purpose 

The purpose of this role is to ensure effective and compliant vendor and contract operations for IT services and software subscriptions. The role coordinates contract lifecycle activities (renewals, amendments, signature workflows), maintains accurate contract and license records, supports vendor performance followup (KPI/SLA reporting), and provides reliable visibility to stakeholders to enable cost control, compliance, and continuous improvement. The role works closely with IT service owners, Procurement, Legal, Finance, and strategic vendors. 

Key Responsibilities

  • Coordinate contract lifecycle management activities for IT vendors (renewals, extensions, amendments, termination notices, signature routing) and keep contract repositories up to date. 

  • Maintain accurate records of software licenses and cloud subscriptions, including entitlements, renewal dates, key terms, and utilization/consumption visibility where available. 

  • Produce and maintain periodic reporting on contract status (expirations, renewals, change requests) and vendor performance metrics (KPI/SLA followup) for stakeholders. 

  • Support audits and compliance checks by providing contract, licensing and supplier documentation and evidence in an organized, traceable manner. 

  • Act as a subject matter expert for contract and license data quality, ensuring consistent naming, metadata, and document completeness in the CLM/tooling. 

  • Identify opportunities for process improvements in contract and license operations (templates, standard steps, handoffs, approval checkpoints, reporting cadence). 

Skills, knowledge and experience 

 

Education:  

Bachelor’s or Master’s degree in business, IT, law, supply chain or other relevant field; equivalent experience accepted. 

 

Experience & knowledge:  

  

  • Several years of experience in vendor/contract management, procurement support, or IT commercial operations in an international environment. 

  • Practical experience with contract lifecycle processes and tools (e.g., CLM systems) and managing contract documentation endtoend. 

  • Understanding of common software licensing and subscription models (enterprise licensing, SaaS subscriptions) and the need for compliant recordkeeping. 

  • Experience supporting KPI/SLA reporting and working with data (Excel/Power BI or similar) to provide clear visibility to stakeholders. 

  • Strong coordination skills across IT service owners, procurement, legal and finance; able to drive topics forward without formal people management responsibility. 

  • Comfortable working with ambiguity and multiple parallel items; strong attention to detail and ability to create structure.

  • English as a daily working language 

  • Additional languages are an asset
