Overview of Role
The IT Management Support Officer supports the IT leadership by coordinating administrative processes, managing communication flows, and ensuring smooth operational routines within the IT organization. The role helps maintain structure, efficiency, and transparency in day-to-day management activities.
The successful candidate will have a varied and hands-on role working as part of the IT Team.
Key Responsibilities
The ideal candidate is structured, customer-oriented, able to work independently and skilled in communicating technical challenges.
Administrative Coordination - The role manages organizational planning for IT leadership. This includes preparing agendas, minutes, and follow-up actions for management meetings and governance forums.
Communication & Documentation - The role supports internal communication by preparing presentations, drafting memos, maintaining documentation, and assisting in the distribution of management updates. The IT Management Support Officer ensures that information is well structured and easily accessible.
Operational Support - The officer contributes to key operational cycles such as budgeting, invoice processing, regulatory reviews, and audit follow-ups. This includes gathering data, following up with teams, and supporting preparation of CIO-level materials.
Process & Governance Support - The role helps maintain IT governance routines by organizing committees, tracking decisions, and ensuring that required documentation is up to date. This includes maintaining calendars for recurring processes and ensuring timely submissions from stakeholders.
Stakeholder Coordination - The position acts as a coordination point with internal departments such as HR, Finance, Information Security, Procurement, Risk, and Compliance. This supports the alignment of IT activities with broader organizational requirements.
Project & Task Support - The IT Management Support Officer provides support for IT initiatives by tracking tasks, monitoring deadlines, creating simple reports, or coordinating small workstreams for management.
Team Culture & Organization - The role helps IT leadership organize team events, workshops, onboarding activities, and knowledge-sharing sessions, contributing to a positive, structured, and well-connected IT environment.
Experience, Skills and Competencies Required
Professional Skills
Strong organizational ability, attention to detail, pragmatic problem-solving, clear communication, and reliability.
Excellent written and spoken communication skills in English (German is a plus).
Good communication skills to ensure all stakeholders are kept well informed on requirements and delivery.
Familiarity with banking processes is beneficial.
Technical Skills
Strong technical background with a Bachelor’s / Master’s degree or further education in Computer Science, Business Informatics (or a comparable field). Familiarity with IT terminology and processes.
Proficiency in office productivity tools, presentation creation, scheduling systems, and document management. Experience with collaboration platforms (e.g. office 365, MS Teams) is an advantage.
Behavioral Traits
Discretion, trustworthiness, structured working style, customer orientation, and the ability to work with a broad range of stakeholders across IT and the bank.
Analytical and interconnected thinking.
Strong team player with the ability to establish and maintain a high level of trust and confidence among peers and colleagues.
Experience
Previous experience in working in IT in a coordination, project management or assistant role.
