Position Summary / Career Interest:
IT Financial Analyst is responsible for various processes of HITS Finance area, including invoice validation and processing, month-end capital and operational financial reporting, reconciliation of invoices with Purchase Orders (PO), research into missing payments and other essential functions to ensure accurate and timely execution of HITS Finance processes and procedures
Responsibilities and Essential Job Functions- Taking the lead on reviewing, verifying and processing HITS vendor invoices, including confirming invoice validity and accuracy with HITS management, obtaining proper approvals as well forwarding invoices to the appropriate areas for payment. Researching missing invoices, following up with Accounting and AP on payments, interfacing with the KUMC financial areas to ensure that all payments are being coded and processed appropriately and in a timely manner.
- Auditing request for reimbursements to ensure compliance with organizational policies and procedures. Educating HITS staff on Hospital policies related to travel and out-of-pocket reimbursements. Forwarding requests to Accounting in the appropriate manner for processing. In a case of discrepancies, working with HITS employees on a quick resolution. Assisting HITS Leadership in managing of travel and education expenditures per budgeted allocations
- Preparing month-end capital reports for HITS, including analysis of project management data to determine any discrepancies in actual capital hours reporting, reaching out to employees to facilitate time entry and working with Project Management Office (PMO) to validate capital and operational hours per accounting guidelines. Submitting capital month-end reports to the Accounting department, providing background information as needed and working with financial area to ensure that appropriate journal entries are made
- Analyzing professional and consulting hours, working with physician liaisons’ team to identify capital activities that can be reimbursed. Validating invoices submitted by third-party vendors to ensure that all charges are valid and appropriately coded. Providing month-end capital reports to the Accounting department in a timely manner to ensure funds’ transfers
- Validating capital reimbursement transfers to HITS operational natural accounts, including HITS FTEs Salaries and Benefits, Reimbursed Professional Fees and Equipment. Working with Property Accountants to resolve any issues related to capitalization of hours and/or equipment
- Providing month-end reporting, including capital analysis (budgeted vs. actual), reviewing actual journal entries as well as pending expenditures that might be in the pipeline. Furnishing monthly HITS travel and education reports to appropriate HITS managers and advising them on the appropriate charges. Monitoring actual equipment charges vs. budgeted amounts and providing the information to technical infrastructure area. Providing other ad hoc reports as needed
- Reviewing accrual (AC) entries against HITS’ natural accounts and validating the amounts against appropriate purchase orders (POs). Working with Hospital Accounting to back out accrued and pre-paid amounts in timely manner to ensure accurate actual reporting. Facilitating monthly reporting of accrued expenses that have not been invoiced yet to allow Accounting record these appropriately.
