IT Digital Systems – Analyst Assistant (FWS/NFWS)

Purpose within the Organization

Under general direction, the Analyst Assistant supports IT Digital Systems by monitoring software assets, assisting with software renewal policies, and reviewing software-related purchases submitted through Coupa (the organization’s procurement software). This role helps ensure compliance with university standards, accurate asset tracking, and documentation for the Project Management Office.

Responsibilities Related to Purpose

  • Maintain accurate records of software licenses, subscriptions, and renewals by utilizing the asset management software and procurement software
  • Track software purchase requests and ensure alignment with IT Security and Procurement renewal policies
  • Review Coupa purchase requisitions to verify correct categorization, documentation, and compliance
  • Monitor upcoming software renewals and notify stakeholders as outlined in internal procedures
  • Assist with maintaining the software asset inventory and updating system records regularly
  • Collaborate with IT teams and requestors to resolve discrepancies or gather missing information for purchase reconciliation
  • Assist with hardware inventory operations as needed
  • Support process improvements related to software asset management and procurement workflows
  • Other duties as assigned

Qualifications

  • Understanding of basic asset management or procurement processes
  • Strong attention to detail and organizational skills
  • Ability to interpret and follow policy guidelines
  • Strong communication skills – verbal and written
  • Proficient with MS Office Suite
  • Experience with procurement systems or software asset management tools preferred, but not required

Pay Rate: Minimum Wage
