The Service Oklahoma (SOK) mission is to ease the stress in navigating government services by providing a best-in-class customer experience. We are Oklahomans helping Oklahomans by providing driver license and motor vehicle services on behalf of the state.

This position has an annual rate of $59,000.00.

The Service Oklahoma offers a generous benefits package, including a benefits allowance to off-set the costs of medical, dental, vision, life and disability insurance plans. The Service Oklahoma will match up to 7% towards an employee’s Defined Contribution retirement plan. Our employees receive 11 paid holidays, 15 days of paid annual leave, which increases with every 5 years of service, and 15 days of paid sick leave. Additionally, employees will receive longevity payments based on their years of service with the State of Oklahoma.

Job Description

 

POSITION SUMMARY

The Internal Communications Specialist plays a hands-on role in the Communications Division. This position is responsible for the development, implementation and maintenance of Service Oklahoma’s mission-driven internal communications strategy. This position will lead internal storytelling through close collaboration with their supervisor. In addition, they’ll be responsible for the development of a comprehensive communications calendar. The Specialist will support employee culture and engagement efforts while managing all internal communications including regular email updates, twice monthly newsletters and the agency’s intranet. This role also tracks performance analytics, employee surveys and other data points to inform and adjust Service Oklahoma’s internal communications strategy.

 

This position is essential to internal communications of all Service Oklahoma employees across the state. Your work will help improve access to information, encourage event participation, and strengthen trust within the agency.

 

POSITION RESPONSIBILITIES

The job duties of this position may include responsibilities listed below.

· Develops and executes an internal communications calendar with key employee dates, emails, newsletters, etc.

· Implements and maintains brand voice guidelines, ensuring consistency across all internal channels

· Formulates high-quality written and digital content for employee communication

· Manages the twice monthly employee newsletter including developing visually appealing content, developing story ideas, writing, editing and proofing content

· Writes, edits and proofs all internal communications, including forms, manuals, emails and intranet content

· Coordinates all inter-agency communication through GovDelivery, including distribution list management

· Manages and creates content for the agency intranet site

· Works with the communications team to create digital content for internal audiences

· Works with the executive team, communications team, human resources and other agency divisions to align all internal communications

· Works with the Employee Engagement Manager to foster employee engagement and agency culture

· Collaborates with partners to create quality content for internal-facing social media posts

· Analyzes, tracks KPIs and provides quarterly reports on such to determine whether internal communications are achieving objectives and using such data to drive continuous improvement

· Manages the agency’s Standard Operating Procedures on the intranet

· Embraces new technologies and approaches to ensure messages are delivered in the most impactful and efficient way possible.

· Attends events at the direction of the Sr. Communications Manager and/or Director of Communications

· Other duties as assigned.

 

KNOWLEDGE, SKILLS, & ABILITIES

· Professional and business writing skills, including copywriting and copyediting

· Knowledge of the dynamics of internal communications

· Proven ability to engage and educate audience with written and visual content

· Ability to develop content with consistent brand voice and tone

· Basic level knowledge and experience with email marketing platforms

· Basic level knowledge of Canva and Adobe Creative Cloud programs, including Acrobat Pro, InDesign CC and Photoshop CC.

· Ability to measure the success of communication strategies and tactics

· Ability to organize and manage time efficiently

· Creativity and attention to detail

· Ability to work well under pressure and tight deadlines

· Flexibility and active listening skills

· Ability to work in Apple OS X or PC environment, SharePoint and Microsoft 365.

 

EDUCATION & EXPERIENCE

· Bachelor’s degree in communications, marketing, public relations, advertising, or a related field, PLUS at least two year(s) of related professional experience

· Or an equivalent combination of education and experience

 

Preference may be given to candidates who have one or more of the following:

· Experience in managing content development with various stakeholders including newsletters, intranet content and other curated content pieces

· Experience in writing for internal, professional and business audiences

· Applied experience with GovDelivery

· Basic level knowledge of Canva and Adobe Creative Cloud programs, including Acrobat Pro, InDesign CC and Photoshop CC.

· Basic video filming and editing

· Basic knowledge of Asana

 

SPECIAL REQUIREMENTS

· The schedule for this position may require flexibility, including some weekends and overtime, based on the needs of the agency.

· This position may require travel. The selected applicant must have reliable transportation and be willing and able to perform all job-related travel. Possession and maintenance of a valid Oklahoma Driver License is also required.

· This position requires employees be able to lift 10-50 pounds on a regular basis, with assistance as needed.
