Institutional Affairs Analyst (Institutional Events) - SECIE

The Fund’s Secretary’s department (SEC) is looking for an Institutional Affairs Analyst to work in its Institutional Events Division (IE) with a focus on supporting the Board operations, including virtual and hybrid meetings of the Fund’s Executive Board and its Committees, Annual and Spring Meetings and other events requiring both on site and virtual platform support.   The Division manages the over 370 hours/year of Board engagements.   

The Institutional Events Division (SECIE) is responsible for planning and management of high-level international events; organization of the work of the Fund’s governing bodies and provision of services to them including through meeting services, information technology and member communications. Under the supervision of the Chief of the Institutional Events Division, the candidate’s main responsibilities will include: 

  • Serving as a technical host and/or attendance support for hybrid, virtual, and on-site Board meetings, committee meetings and other engagements.  

  • Assisting the division in the delivery of the Spring and Annual Meetings, supporting high level ministerial meetings, constituency, bilateral meetings and others events.    

  • Managing several technology platforms including Webex, Webex Events, Board Attendance System (BAS), Board Access Management Application (BAMA), Board Calendar Management System (BCMS), verbatim reporting software and other systems that support our Board operations as applicable. Identify areas for improvements and proactively troubleshoot issues.  

  • In consultation with IT/AV staff report anomalies, troubleshooting and resolving technical/platform issues, keeping record of support requests and time to resolution.  

  • Compiling user documentation, performing tests of systems, creating training materials and providing on-going support for Office of Executive Directors (OED). Liaising with IT systems developers, AV specialists and others as applicable. Suggesting workarounds and enhancements for systems and actively participating in testing these enhancements. 

  • Maintaining meetings protocols including requests to speak and tracking quorum for meetings, managing the timer function and performing other related tasks. 

  • Advising Executive Directors and their staff on protocols and procedures, assisting meetings participants with check-ins, answering participants’ queries, and maintaining contact with responsible offices and departments. Providing user support, on-going training and on-boarding, compiling user manuals. 

  • Assisting in identifying complex business needs, gathering detailed requirements, compiling statistics in support of improvements to Board and Ministerial Meetings services. 

  • Publishing and maintaining content on IMFConnect, the Fund’s main platform for engagement with the membership, the IMF/WB Mobile App for the Meetings; and other OED related webpages.  

  • Support team lead in the planning and delivery of IT capital projects supporting the Board and Annual and Spring Meetings.  

 

Qualifications: 

  • A combination of training and experience equivalent to completion of secondary school education, or equivalent, supplemented by a minimum of four years of relevant work experience, is required. 

      In addition to the qualifications set forth above, the candidates must have: 

  • Proven track record in technical hosting and supporting hybrid conferences with high level participants, experience as an administrator/host of virtual conference and collaboration tools (e.g., Webex, Zoom, MSTeams) are required as is experience with coordination of IT/AV systems services. 

  • Ability to develop and deliver user communications, experience of translation of business process requests into technical requirements for systems. Ability to conduct user acceptance testing of IT systems, including creation of process documentation and procedure manuals in support of IT projects. 

  • Strong ability to manage multiple workstreams under pressure while delivering consistently high-quality service. 

  • Punctuality, service orientation, attention to detail while maintain a bigger picture in mind, aptitude for adoption of new technologies, innovative solutions and creative workarounds is a must. 

  • Excellent interpersonal skills and a track record of communicating with high-level audience. The ability to develop strong business relations, resolve issues with diplomacy and tact are essential. 

Preferred experience: 

  • Understanding of the Fund’s governance and operations, including protocols for Executive Board and the conduct of its meetings as well as experience with coordination of international events particularly for the Fund’s Ministerial meetings are highly desirable. 

 

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.
