Role overview:

 

We are looking for a highly organized and proactive Installations Project Coordinator to join our Onboarding team. In this role, you will be responsible for planning and managing installation projects for new clients, ensuring smooth execution and timely delivery. You will coordinate closely with customers, technical teams, and internal departments to align project timelines, resolve issues, and keep all stakeholders informed. This role requires excellent communication skills, attention to detail, and the ability to manage multiple projects simultaneously.

The successful candidate will be based in Warsaw, Poland, will play a crucial role in the Onboarding Installations Team within Planet Operations. The mission of our Installation Team is to deliver bespoke payment solutions to our customers right first time. This position requires that you exude excellence and professionalism while guaranteeing a proactive communication throughout the project until our solution is successfully installed, and more importantly, our customer is happy.

What will you do :

  • Plan and schedule installation projects from initiation to completion.

  • Serve as the primary point of contact for clients during the installation phase.

  • Coordinate with internal teams involved into Onboarding process to ensure timely delivery of the solution.

  • Contact customers, by email and phone, to schedule installations appointment. Keep the customer engaged and updated throughout the planning phase.

  • Assign respective installers to confirmed installations based on their skillset and capacity.

  • Monitor project progress, ensuring alignment with timelines, milestones, and service expectations.

  • Identify risks or delays and proactively escalate or resolve issues.

  • Maintain accurate project documentation and status updates.

  • Support continuous improvement of onboarding and installation processes.

  • Uphold a customer-centric approach, consistently striving to deliver exceptional service.

  • Make sure internal tracking system is maintained up to date with progress on all open installations until they are successfully completed.

Who you are?

  • You have experience in project coordination, onboarding, operations, or a similar role.

  • You have strong organizational and time‑management skills with the ability to manage multiple concurrent projects.

  • You have excellent communication and stakeholder‑management abilities.

  • You have problem‑solving mindset and ability to work in a fast‑paced environment.

  • If you are familiar with project management tools and methodologies, it is a plus.

  • You have strong attention to detail and commitment to delivering high‑quality service to clients.

  • You have friendly, polite, and respectful manners, with excellent communication skills, demonstrating a strong service orientation towards our customers.

  • You have ability to work independently with a structured and organized approach, while also being proactive in driving solutions and improvements.

  • You uphold a sense of responsibility and reliability in all tasks, operating with honesty, loyalty, and integrity at all times.
