Innovation Project Specialist

The Innovation Project Specialist will play a key role in supporting and advancing the firm's innovation initiatives - helping explore, pilot, and implement technology solutions that enhance the client and employee experience. This role blends project coordination with hands-on analysis, documentation, and process improvement.

The Innovation Project Specialist will partner closely with internal stakeholders and external vendors to support and move innovative initiatives from concept to execution. The ideal candidate thrives in an ever-changing environment, communicates clearly, and approaches challenges with a spirit of curiosity and collaboration.

Success Factors

Responsibilities

  • Support the delivery of innovative and technological initiatives by coordinating meetings, capturing and distributing meeting notes, following up on action items, tracking milestones, and helping manage project timelines and deliverables.
  • Schedule and facilitate calls with technology vendors, gather security and compliance documentation, and support the vendor due diligence process.
  • Capture current-state workflows, pilot project notes, and lessons learned to ensure clear communication and repeatable processes across initiatives.
  • Work closely with internal stakeholders across departments to coordinate feedback, collect requirements, and ensure alignment on innovative initiatives.
  • Stay current on emerging technologies and tools that could benefit the firm; assist in researching and evaluating potential solutions.
  • Maintain project tracking tools, update dashboards, and help prepare communications or summaries for leadership.

People Management/Relationships

  • Collaborate with the Innovation Manager to support innovation initiatives and address project needs.
  • Champion a culture of innovation and change by fostering open dialogue and sharing initiatives enthusiastically.
  • Communicate complex IT or innovation concepts in a clear and accessible manner.
  • Demonstrate accountability for assigned work and actively seek feedback for ongoing development.
  • Remain receptive to new ideas and suggestions.

Education, Experience and Certifications

  • Skilled in Microsoft Office Suite; demonstrated familiarity with project management
  • Certified in Smartsheet and/or Asana work management solutions
  • Associate’s degree (or equivalent experience).
  • 5+ years of experience in project coordination, administrative support, or technology-related roles.
  • Proficiency in project management and change management are a plus.

Essential Functions

  • Regularly required to perform manual tasks, concentrate, think, learn, communicate, sit, stand, walk, use hands and fingers, grasp, handle or feel objects, reach with arms, talk and hear
  • Must be able to remain in a stationary position as needed
  • The person in this position needs to occasionally move about inside the office and on site at client locations, stoop, kneel, crouch, push and pull
  • Vision abilities required include close vision, distance vision and the ability to adjust focus.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer
  • Ability to communicate in a professional manner and exchange information with internal and external actors as needed
  • Ability to lift/carry up to 20 pounds
  • Ability to work outside of normal business hours and weekends as needed
  • Ability to travel to local and non-local clients and events as needed, overnight travel may be required

Salary Range:

$60,000 - $75,000
