Department

You will be the part of FLSmidth’ s EXIM for Bawal manufacturing unit to support department goals and targets. The Logistics Export-Import (EXIM) Department is responsible for managing all international trade operations, ensuring compliance with customs and regulatory requirements, and facilitating seamless logistics coordination. The team collaborates with internal stakeholders and external partners to enable smooth import and export transactions that support the company's global growth.

Role

Manage all aspects of import and export operations, including documentation, customs clearance, and logistics coordination. Ensure compliance with international trade laws and regulations. Monitor and report on import/export performance, market trends, and business opportunities. Build and maintain relationships with government agencies, freight forwarders, and regulatory bodies. Identify and mitigate potential trade-related risks and liabilities. Stay abreast of evolving trade policies, tariffs, and international agreements. Conduct research to identify new markets and global expansion opportunities. Support contract negotiations related to import/export operations. Collaborate closely with cross-functional teams (sales, procurement, finance, legal, and QA) to ensure process alignment. Handle all customs related advance authorization license and Closure on time. End to end Co-ordination for Project Cargo raw Material pick to Supply / Dispatch of Cargo to Customer place and required to handle After Sale Market Cargo EXIM operation

Key Accountabilities Summary

The role encompasses end-to-end management of import and export operations, ensuring seamless coordination across logistics, documentation, customs clearance, and stakeholder engagement while maintaining strict compliance with international trade regulations. It involves performance monitoring, risk mitigation, trade policy management, and market intelligence to optimize costs and efficiency. Additionally, the function supports global expansion, contract management, cross-functional alignment, license administration, and specialized operations such as project cargo, after-sales logistics, and packaging coordination to ensure timely and compliant delivery of goods.

Key Accountabilities

1. Import & Export Operations Management

  • Manage end‑to‑end import and export operations across air, sea, and multimodal shipments.
  • Prepare, review, and control all shipping documentation including commercial invoices, packing lists, BL/AWB, COO, insurance certificates, and regulatory filings and ensure effective Import Customs Clearance by reviewing CI & PL, Bill of Entry Filing and Handle Customs related queries
  • Coordinate customs clearance at origin and destination to ensure on‑time cargo movement.
  • Liaise with freight forwarders, CHA agents, shipping lines, and airlines to optimize routes, costs, and transit times.
  • Ensure shipment tracking, milestone reporting, and timely issue resolution to avoid delays or penalties.

2. Trade Compliance & Regulatory Adherence

  • Ensure full compliance with applicable international trade laws, customs regulations, FTA provisions, and export control requirements.
  • Interpret and implement DGFT, customs notifications, GST, FEMA, and other statutory guidelines.
  • Conduct periodic internal audits to ensure adherence to compliance standards and prevent violations.
  • Maintain proper records for statutory audits and government inspections.

3. Performance Monitoring & Market Intelligence

  • Monitor import/export KPIs such as cost per shipment, transit times, clearance efficiency, and delivery performance.
  • Analyze market trends, freight rate movements, trade lanes, and geopolitical impacts affecting supply chains.
  • Prepare periodic MIS reports on EXIM performance, risks, and operational improvements for management review.
  • Identify efficiency gaps and recommend process optimization initiatives.

4. Stakeholder & External Agency Management

  • Build and maintain strong working relationships with customs authorities, DGFT, banks, inspection agencies, freight forwarders, and overseas agents.
  • Represent the organization during regulatory interactions, audits, and trade-related discussions.
  • Coordinate inspections, surveys, and certifications required by statutory or customer authorities.

5. Risk Management & Mitigation

  • Identify potential operational, regulatory, financial, and compliance‑related risks in international trade transactions.
  • Develop mitigation strategies to avoid delays, penalties, shipment losses, or contractual disputes.
  • Ensure adequate cargo insurance coverage and manage claims when required.
  • Implement contingency planning for disruptions due to weather, capacity constraints, or regulatory changes.

6. Trade Policy & Tariff Management

  • Continuously monitor updates in international trade policies, tariff structures, customs duties, and bilateral/multilateral agreements.
  • Assess the impact of trade policy changes on product costing and sourcing strategies.
  • Advise internal stakeholders on opportunities for duty optimization through FTAs, exemptions, and incentive schemes.

7. Market Research & Global Expansion Support

  • Conduct research to identify new international markets, sourcing locations, and customer regions.
  • Support global expansion initiatives by evaluating logistics feasibility, regulatory requirements, and cost implications.
  • Assist sales and management teams with trade feasibility studies and market entry planning.

8. Contract & Commercial Support

  • Support negotiation and finalization of contracts related to freight, logistics services, and international suppliers/customers.
  • Define and validate Incoterms, delivery responsibilities, risk transfers, and cost allocations.
  • Ensure alignment of commercial contracts with operational and regulatory requirements.

9. Cross‑Functional Coordination

  • Work closely with sales, procurement, finance, legal, QA, and operations teams to ensure seamless process alignment.
  • Coordinate demand planning, material readiness, documentation accuracy, and shipment scheduling.
  • Support finance teams with duty forecasting, landed cost calculations, and reconciliation of logistics costs.
  • Ensure QA and regulatory documentation aligns with customer and country-specific requirements.

10. Advance Authorization License Management

  • Handle complete lifecycle management of Advance Authorization / Export incentive licenses and any other customs duty benefit License
  • Ensure timely application, tracking, utilization, and closure of licenses within prescribed timelines.
  • Maintain accurate records of import–export linkage, EO fulfillment, and audit trails.
  • Coordinate with customs, DGFT, and internal teams to avoid default or penalties.

11. Project Cargo & After‑Sales EXIM Operations

  • Manage end‑to‑end coordination for project cargo, from raw material pickup to final delivery of final FG  at customer site.
  • Ensure compliance with special handling requirements for oversized, heavy-lift, or time‑critical shipments.
  • Plan and execute logistics for after‑sales market cargo including spare parts, replacements, and warranty shipments.
  • Coordinate reverse logistics, repair returns, and re‑exports where applicable.
  • Act as single point of contact for customers and internal teams for complex project and after‑sales EXIM operations.

12.Packaging Coordination & Delivery Schedule Management

  • Coordinate closely with packaging vendors to ensure packaging design, material selection, and preparation align with export, regulatory, and transport requirements (air/sea/road/project cargo).
  • Plan and monitor packaging timelines to meet committed shipment schedules and customer delivery dates.
  • Ensure packaging complies with international shipping standards (ISPM‑15, airline/sea freight requirements, heavy‑lift or special cargo norms).
  • Align packaging readiness with production, logistics, and shipping teams to avoid dispatch delays.
  • Conduct pre‑dispatch verification to ensure packaging adequacy for transit risks, climatic conditions, and multiple handling points.

Your responsibilities

  • Lead end-to-end import and export operations, including logistics coordination, documentation, and customs clearance across all shipment modes.
  • Ensure strict compliance with international trade regulations (DGFT, customs, GST, FEMA, FTAs) and maintain audit-ready documentation.
  • Manage and validate complete shipping documentation to ensure accuracy and smooth clearance without delays or penalties.
  • Monitor and drive EXIM performance metrics (cost, transit time, clearance efficiency, delivery timelines) and implement improvements.
  • Develop and maintain strong relationships with customs authorities, DGFT, freight forwarders, and external agencies.
  • Identify and mitigate trade-related risks, ensuring proper insurance coverage, contingency planning, and issue resolution.
  • Track trade policies, tariffs, and market trends to optimize duty structures and support strategic decision-making.
  • Support global expansion and market research initiatives, including feasibility studies and logistics planning.
  • Collaborate with cross-functional teams (sales, procurement, finance, legal, QA) to ensure seamless operational alignment.
  • Manage Advance Authorization licenses, project cargo, and after-sales EXIM operations, ensuring timely execution, compliance, and delivery.
