Human Resources Assistant (Part-Time)

Department: Human Resources – South Bend/Elkhart

FLSA Status : Nonexempt

Time Type: Part Time

Salary: $18 Hourly

Hours : 28 hours per week

Location: In-Person
 

Be the friendly face that welcomes new faculty and staff, helps keep our employee records sparkling clean, and supports the day-to-day magic that keeps our institution running smoothly such as assisting with recruitment and onboarding, answering employee inquiries, and other projects to ensure the healthy operation of the department. This role will provide clerical support to the Human Resources team and overall maintain a high level of confidentiality with a strong customer service focus. 

What you’ll do:
 

  • Maintain functional knowledge of employee handbooks to problem solve, respond to routine HR inquiries, provide excellent customer service, and direct employees to appropriate resources.

  • Copy, file, and assist with digitizing documents.

  • Support audit functions (e.g., employee compliance, records retention) and follow-up, if needed.

  • Upload official transcripts and credentials into Faculty Credentialing System and employee personnel file.

  • Assist with employee notification outreach (e.g., pending signatures, Workday tasks).

  • Process non-employee/contractor/dual-credit instructor form requests.

  • Assist in hire processing, background checks, form I-9 employment eligibility verification, and status tracking.

  • Scheduling appointments as needed.

  • Support in reviewing Period Activity Pay requests pending approval.

  • Understand and follow college-wide personnel policies and procedures.

  • Demonstrates confidentiality and trustworthiness at all times.

  • Assists with other HR functions as needed.

  • Other duties as assigned.

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA) & Health Insurance Portability and Accountability Act (HIPPA), other applicable regulatory requirements, and professional standards.

What you’ll need to get the job done:
 

Education:

  • High School diploma or GED required.

  • Bachelor's degree preferred; enrollment in a related degree program acceptable.

Combinations of related education and experience may be considered.


 

Experience & Skills:

  • Computer experience/software and technology skills required.

  • Strong customer service experience required.

  • Employee recruitment experience preferred.

  • Detail-oriented and experience in accurate high-volume data entry required.

  • Excellent clerical and filing skills required.

  • Ability to maintain effective office procedures and efficient workflows as directed by manager required.

  • Excellent communication skills, both written and oral required.

  • Commitment to continuous upgrading and enhancement of skills to keep pace with changing demands of workplace and position required.

  • Ability to engage in behaviors that create an inclusive environment in which all people are valued, respected, and supported required.

This role requires a Monday – Friday, 28-hour per week commitment; some flexibility may be available for start/end times depending on business needs, but the total weekly hours will not vary. The hours for this role would ideally be 9:00 AM EST – 3:00 PM EST M-TH, 8:00 AM EST – 12:00 PM EST on Fridays. Specific schedule details will be discussed during the interview process.
