The Human Resources Assistant in responsible for administrative support to the HR department and assists with day-to-day operations of HR functions and duties. This role helps facilitate HR processes, maintain employee records, generate reports, and support recruitment, onboarding, and employee engagement initiatives.

Job Description:
 

Essential Duties:

  • Maintain and update employee records and ensure data accuracy in all HR systems
  • Support onboarding and offboarding processes, including preparing new hire paperwork
  • Assist with the coordination of employee appreciation events, meetings, training and development programs
  • Respond to employee inquiries regarding HR policies, benefits and Company procedures
  • Assist with benefits administration, including enrollments, changes and claims support
  • Assist with payroll and timekeeping administration as needed
  • Prepare HR required reports, memos and correspondence as needed
  • Maintain performance review tracking, documentation and reports
  • Assist with employee engagement initiatives and Company’s wellness program
  • Assist with the Company store
  • Support compliance efforts by maintaining documentation and assisting with audit, employment verifications, background and motor vehicle record checks, drug and alcohol testing, corporate compliance, and other processes
  • Maintains Company drug and alcohol testing program
  • Assist with the employee coverall and company rug program
  • Assist with recruitment processes including posting jobs, screening resumes, scheduling interviews, and communicating with candidates
  • Assist with career fairs and company tours
  • Maintain accurate records for affirmative action purposes
  • Maintain employee key fob database
  • Assist with maintaining current job description file and associated documents
  • Maintain policy and procedures manual on the Company Homepage
  • Maintain a strong working relationship with all North American Coal employees and vendors
  • Provide general administrative support to the HR department and assist with special projects as assigned
  • Maintain confidentiality and handle sensitive information with discretion
  • Perform job duties in accordance with MSHA law and regulations, established company safety procedures, employment law regulations, and state and federal environmental regulations

Other Duties:

  • Perform other duties as assigned
  • Act as receptionist backup

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office Suites
  • Must have a high level of accuracy and attention to detail
  • Must be able to work with highly sensitive and confidential information
  • Must have the ability to communicate effectively with all levels of management, office employees, and workforce
  • Advanced proofreading skills
  • Knowledge of company policies and procedures
  • Must be able to work independently and in a fast-paced work environment
  • Ability to identify potential problems relating to assigned job duties and handle them appropriately
  • Must develop and maintain an approachable, credible relationship with all employees regardless of position
  • Must be able to work effectively in a team environment
  • Recognize and respond effectively to unexpected situations and tight deadlines
  • Must be able to demonstrate flexibility and adapt to changing task priorities
  • Strong organizational and time management skills
  • Excellent verbal, written and interpersonal communication skills

Education and Training:

  • An associate’s degree in human resources, business or similar degree program is preferred. At least three years of relevant work experience in human resources or a similar department can be substituted for an associate’s degree.
