JOB DESCRIPTION:

Job Purpose

Support the Human Resources team in administrative, documentation, and operational tasks to ensure accurate and efficient HR processes. This role focuses on structured, repeatable work that supports the employee lifecycle and HR compliance

Key Responsibilities

1. HR Operations & Administration

  • Maintain and update employee records in HR trackers eg. Employee confirmation dates
  • Organize and file HR documents (digital and physical) in accordance with company standards
  • Assist in preparing standard HR letters and documentation (e.g. acceptance of resignation letters, confirmation letters)
  • Support data entry and ensure accuracy of HR records

2. Employee Lifecycle Support

  • Assist in onboarding preparation (documentation checks, tracker updates, coordination of basic logistics)
  • Support offboarding processes (documentation, clearance tracking, system updates)
  • Handle routine employee requests (e.g. letter requests, basic HR queries) under supervision

3. Stamp Duty & Documentation Compliance

  • Support the preparation and submission of employment-related documents for stamp duty processing
  • Track and monitor stamp duty status to ensure timely completion
  • Maintain proper records of stamped documents in line with compliance requirements
  • Coordinate with internal stakeholders to ensure required documentation is complete prior to submission

4. HR Data & Reporting

  • Maintain HR trackers (e.g. headcount, leave, employee movements)
  • Assist in compiling and validating data for reports
  • Support data cleanup and standardization exercises

5. Employee Engagement & Events Support

  • Support planning, coordination and on-ground execution of HR engagement initiatives and events including Excel and Power BI training, Festive Celebration and CSR activities, Blood Donation Drive, Annual Dinner and Long Service Award. This includes preparing and designing internal email communications and event announcements.
  • 2026 Long Service Award
    • Assist in compiling and validating the list of eligible recipients.
    • Support coordination for gold coin arrangement and documentation preparation

6. HR Projects & General Support

  • Support ongoing HR initiatives (e.g. process improvements, documentation standardization)
  • Assist with administrative tasks assigned by the HR team

Role Requirements (e.g. Qualifications, skills, work experience etc.):

  • Currently pursuing or recently completed a Diploma/Degree in Human Resources, Business Administration, Psychology, or related field
  • No prior work experience required
  • Basic proficiency in Microsoft Excel, Word, and PowerPoint
  • Strong attention to detail and ability to follow instructions
  • Good organizational skills and willingness to learn
  • Ability to handle confidential information with discretion
  • Strong communication skills
  • Strong analytical skills and ability to work with data
  • Must be able to multitask in the role
  • Positive attitude and a desire to drive modern technologies and solutions.
