Job Description

The HR Senior Administrator will have exposure to the day-to-day operations of a busy Human Resources department. Reporting to the HR & Recruitment Manager, the HR Senior Administrator will contribute in a meaningful way to the accomplishment of the Human Resources objectives, which support our high-performance culture of professional development, quality, productivity and standards.  

Key Accountabilities of the Role

  • Handle all administration related to onboarding, offboarding, transfers and reporting line changes for employees in Manila, including updating our system Workday
  • Benefits administration including but not limited to medical insurance, group life insurance, and Company retirement plan
  • Management of the HR  and recruitment mailbox and responding to queries in a timely manner
  • General HR administration: creating contracts, reference letters, Certificate of Employment etc
  • Management of the onboarding process, including collation of references, qualifications and new hire documentation for new starters in a timely manner
  • Completing the HR induction programme for new starters
  • Manage all employee administration activities in Workday system and HR file management  ensuring data accuracy
  • Management of the offboarding process including exit interviews, final pay and exit documents. Coordinating with the IT team in relation to new starters and leavers and system access
  • Support Sports and Social Committee on employee engagement activities and HedgeServ wellbeing programme
  • Manage the probationary review process, ensuring follow up with managers on the timely completion of probation reviews and flag any performance issues noted in the review with the HR Manager  
  • Stay updated on all local labor regulations and statutory requirements to ensure compliance
  • Assist in audits, reporting and other HR data governance requirements
  • Ownership of the HR SharePoint site for Manila
  • Support the payroll process by conducting monthly timesheet reconciliation
  • Working on HR projects and initiatives as required
  • Any other ad hoc duties as required

Pre-requisite knowledge, skills and experience

  • At least 3 years’ experience in HR generalist role ideally in a fast paced and growing organisation
  • HR qualification or relevant business field
  • Understanding of HR best practices, policies, local employment laws and government statutory benefits and requirements (DOLE, BIR, SSS, Philhealth, PAGIBIG)
  • Excellent verbal and written communication skills
  • Strong interpersonal skills with an enthusiastic and proactive approach A continuous improvement mindset
  • High focus on accuracy and attention to detail
  • Ability to exhibit a high level of confidentiality and integrity
  • Strong organizational skills & ability to multitask
  • Excellent team player, who is comfortable working independently
  • Previous experience with Workday system is an advantage
