OVERVIEW OF THE DEPARTMENT/SECTION
The Global HR Central Services (GHRCS) is foundational and operational in nature, enables the organisation and provides critical to support employees and managers as well as the broader HR organisation while also ensuring focus on legal and regulatory requirements. The GHRCS organisation will advance the objectives of the Global HR Organisation by identifying and executing upon efficiencies that must be operationalised, leveraging HR technology and aligning processes globally with local variation only for legal and/or regulatory requirements
The HR Operations Team is key in the delivery of the key core employee life cycle services including support to other HR COEs.

MAIN PURPOSE OF THE ROLE
- This job sits within the Global HR Central Services Team however is London based servicing all UK employees and London based HR Team. This is a key, client-facing role, delivering quality HR Operations support and advice to all MUFG employees and HR.
- This is the second point of contact for HR Operations support and will be responsible for establishing and preserving strong relationships with internal clients, providing accurate and timely customer service and resolving HR transactions and administration, including complex issues, within agreed service levels. The job holder has ownership and accountability for managing the resolution of customer issues
KEY RESPONSIBILITIES
- Responsible for suggesting, designing and implementing process improvements and efficiencies for the HR Operations team to improve historical working practices and design creative solutions that contribute to departmental objectives in support of the MUFG vision
- Responsible for partnering with Head of ER and Policy to keep up to date with changes in the employment environment and updating the team and relevant documents accordingly
- Responsible for advising line managers on policy and procedure escalating where appropriate to the relevant Head of COE or Head of Regional HR Operations.
- Responsible for managing queries and process actions as defined in the relevant COE activity that is being completed within the HR Operations Team.
- Responsible for producing accurate severance documentation and associated administration; update and maintain accurate records
- Responsible for managing the end to end HR employee lifecycle processes including all leave of absence cases including but not limited to maternity leave, paternity leave, adoption leave, shared parental leave, ordinary parental leave, jury service, sabbatical leave, time off to care for dependents, compassionate leave, study leave.
- Responsible for the timely preparation of income protection claims, employee insurance claims and occupational health referrals.
- Responsible for the timely preparation and responses to statutory, regulatory and government reports and surveys
- Responsible for processing all Non-Standard and Sensitive Leavers including the production of Redundancy and Mutual Agreement Paperwork and owning the end-to-end process on Workday and payroll packs.
- Responsible for the local preparing of key performance metrics for the UK.
- Overseeing and managing any overpayments made to employees by liaising with the HR Advisory and Payroll Team, as well as the wider business.
- Responsible for keeping up to date with legislation and regulatory changes, maintaining continual professional development.
- Responsible for ensuring all services delivered are done so in accordance with agreed policies and procedures and contribute towards delivering a high level of client service.
- Responsible for the end to end process of Letters of Education
- Data maintenance in relation to all employee information, championing data integrity and utilising the system to its full capability. Ensure adequate controls in place to reduce errors. Ensure appropriate internal procedures and controls are in line with best practice HR.
- Responsible for partnering with the Global Mobility Team to ensure all visa and immigration data is accurate and up to date in Workday and all copies are saved onto individual files as required.
- Responsible and accountable for focus on continuous improvement, monitoring and measuring the service delivered to the business by reviewing performance against SLAs, responding to customer feedback, ongoing process improvements, upskilling and proactive support to MUFG
- Responsible and accountable for ensuring all HR Operations Risk and Controls are accurate and maintained whilst raising risk events within the ORM Framework
WORK EXPERIENCE
Essential:
- Experience with HR functions and general HR activities/administration, HR software and data platforms
- Experience managing transactional Employee Relations activity within process, and understanding of when escalation centre model is required due to increased litigation risk or process failure
- Experience partnering with the business as a generalist HR professional and being confident with advising according to policy, process, and legislation
- Previous HR/ER advisory experience to case management level within a shared service centre environment
- Proven experience in HR within an Advisory HR role; advising, influencing, delivering HR solutions in a pragmatic manner to support business needs
SKILLS AND EXPERIENCE
Functional / Technical Competencies:
Essential
- Familiarity with Workday Help, ServiceNow, Salesforce, or a similar HR Case Management system
- Strong working knowledge of Outlook, Excel, PowerPoint, Teams and SharePoint
- Familiarity with HIPPA, banking and employment regulations
- Process mapping experience
- Awareness of how current legislation impacts employment practices
- Strong quantitative / numerical skills
- Awareness of how current legislation impacts employment practices
- Proven experience working with Workday or similar HRIS

PERFORMANCE AND DUTIES
The role holder will be assessed in accordance with their employing entity’s performance framework and process with relevant input obtained from the dual hatting entity as relevant.
As duties and responsibilities change, the job description will be reviewed and emended in consultation with the role holder. The role holder will carry out other duties as are within the scope, spirit and purpose of the role as requested by their line manager or Department Head.
MANAGING CONFLICTS OF INTEREST
- The role holder will have responsibilities for both MUFG Bank and MUFG Securities EMEA plc.
- The role holder will be required to perform their duties and responsibilities on an entity neutral basis, without favour.
- The role holder is required to follow regulatory requirements applicable to ensure each business is appropriately supported and to maintain the legal entity integrity of each of MUFG Bank and MUS.
- Working terms are dictated by functional mandates, the terms of the Dual-Hat Arrangement Agreement in place between MUFG Bank and MUFG Securities EMEA plc and any other relevant agreements entered into between MUFG Bank and MUFG Securities EMEA plc.
- The role holder will have responsibility for identifying and resolving where there may be a difference or conflict in needs between MUFG Bank and MUFG Securities EMEA plc, escalating to their manager where required.
