Job Title: Human Resources Intern
General Overview:
The Human Resources Intern will play a vital role in supporting the daily operations of the HR department. This internship offers hands-on experience in various HR functions, including recruitment, onboarding, employee record management, staff communications, and support for immigration and employment eligibility compliance activities (as applicable). The ideal candidate will demonstrate strong organizational skills, attention to detail, and a keen interest in advancing their knowledge of human resources in a collaborative and fast-paced environment.
Key Duties and Responsibilities:
· Process new hire paperwork for immigration and compliance purposes, update employee records, and manage information changes efficiently
· Coordinate immigration-related documentation and timelines (as applicable) to help ensure employees are work-authorized and ready for a timely start date
· Support employment eligibility verification (Form I-9) processes by preparing packets, helping schedule verifications/reverifications, and ensuring documents are filed accurately and on time
· Maintain trackers for immigration and work authorization documentation (e.g., expirations, renewals) and escalate upcoming deadlines to the Immigration Manager
· Assist with internal audits and compliance requests by pulling supporting documentation, organizing records, and preparing summaries under supervision
· Serve as a point of contact for routine status updates on immigration-related administrative items and route complex questions to the appropriate HR team member or external counsel (as applicable)
· Coordinate with external immigration counsel (as applicable) by scheduling check-ins, relaying case updates, gathering requested documentation, and tracking outstanding items to support on-time filings
· Support the Immigration Manager with timely responses to USCIS and Department of Labor requests for further information by compiling documentation, tracking deadlines, and finalizing draft response packets for review
· Maintain Public Access Files (PAFs) for compliance purposes, including organizing required documentation, tracking posting timelines, and ensuring records are complete and up to date
· Maintain and update HR databases with accuracy and confidentiality
· Prepare, organize, and analyze reports related to HR metrics and activities
· Draft and distribute staff communications regarding HR migration and compliance policies, procedures, and updates
· Perform filing and document management tasks to support compliance and organization
· Support the Immigration Manager with PERM recruitment activities, including coordinating job postings, scheduling interviews, tracking recruitment steps, and maintaining required documentation
· Support the Immigration Manager with special projects and initiatives as needed
Qualifications and Requirements:
· HR experience is strongly preferred but not required
· Demonstrated interest in overall human resources
· Bilingual Spanish/English is a plus
· Exceptional written and verbal communication skills with a professional demeanor
· Advanced proficiency in Microsoft Office Suite and general computer applications
· Strong attention to detail and organizational abilities
· Ability to handle sensitive and confidential information with discretion and professionalism
· Bachelor’s degree or equivalent education is preferred, but not required
