Job Description

Your Role:

Under limited supervision, utilizing established policies, procedures, and customary practices, the HR Shared Services Coordinator performs a variety of general HR duties and supports members of the regional Human Resources team, including HR Business Partners and Advisors for assigned client groups across multiple countries. The HR Shared Services Coordinator will be responsible for managing incoming inquiries from managers and employees for the region through ServiceNow and will route and/or escalate specialized queries to the appropriate teams.

Responsibilities of the Role:

  • Serves as first point of contact/triage for incoming employee and manager inquiries through employee portal (myConnect), either routing employees and managers to available knowledge content, resolving the inquiry if possible, or escalating specialized requests to the appropriate HR team member

  • Processes and approves HR system transactions originating primarily in Workday and ServiceNow, including employee changes, new hires, and terminations

  • Acts as an expert and owner of data and processes; reviews and works with HR team members to resolve identified data audit issues and actively participates in process improvements for data management and other HR-related initiatives

  • Coordinates with other HR team members to provide overall client support and service to assigned groups in the form of resolution of administrative or routine payroll, compensation, or benefit-related questions and issues

  • Maintains employee data in systems and manages process for completion of accurate and up-to-date personnel records

  • Organizes and maintains employee files in compliance with regulatory requirements

  • Prepares reports for internal business partners; engages the Digital HR team to create custom reports, as needed

  • Understands requirements and provides support in relation to Regulated Roles, including initiating background checks

  • Provides administrative support for a full range of HR activities including processing HR invoices

  • Assists other HR team members in the execution of department-specific projects

  • Other duties as assigned (will include support with HR and Invesco event planning and other general office management duties)

Requirements of the Role:

  • 2+ years of directly related HR experience in a customer/client focused role

  • General knowledge of HR best practices and employment law is preferred

  • Proficiency with Microsoft Outlook and advanced skills in Word, Excel and PowerPoint are required

  • Proven skills in Workday, or equivalent HR systems, are required

  • Strong team player; thrives in a collaborative work environment, including cross-training

  • Strong communication skills are required

  • Strong attention to detail is required

  • Open minded, flexible, and willing to listen for and learn from other people's opinions

  • Interpersonal skills necessary to effectively build relationships and communicate with people at all levels of seniority within the HR team and across the business

  • Very strong organizational/prioritization/time management skills

  • Strong problem-solving skills
